Provide support to the residential branch offices by assisting with office and/or administrative duties ensuring efficient day-to-day office functions and a high level of customer service. Serve as the first point of contact by managing front desk responsibilities, including greeting clients, answering incoming calls, and entering contracts into FAST. Assist with escrow-related administrative tasks to support the closing and funding process, working closely with the escrow closing team.
Develop a comprehensive understanding of escrow procedures from start to finish, with the expectation of obtaining an escrow officer license within one year for the ability to assist with closings when required. This role requires flexibility to travel between multiple branch locations, adapting quickly to different office environments, teams, and work styles while maintaining consistent service standards.
- Manage front desk operations, including answering incoming calls, greeting clients and visitors, and processing incoming orders.
- Receive and review contracts, distribute receipted documents to all parties, and open new escrow transactions.
- Coordinate with buyers, sellers, real estate agents, lenders, and payoff institutions to obtain information and documentation required for closing.
- Request, collect, and maintain buyer and seller information in accordance with contract requirements.
- Prepare and distribute commitment packages to lenders, review surveys, order payoff statements, and coordinate home warranty requests.
- Prepare Closing Disclosures (CDs), submit CDs to lenders for approval, and distribute approved disclosures to agents for review.
- Assemble complete closing packages by retrieving and reviewing required documents, ensuring accuracy of legal descriptions, buyer and seller information, and other critical transaction details.
- Facilitate successful closings by ensuring all documentation is complete, accurate, and compliant with company and regulatory requirements.
- Perform post-closing activities, including funding, disbursement, and balancing of files.
- Coordinate with accounting to initiate wire transfers, process deposits, issue checks, and ensure timely and accurate distribution of funds to all parties.
- Finalize completed files and prepare documentation for submission to the shipping department.
Minimum – High school diploma or equivalent;
College preferred, but not required
1 to 3 years title industry experience
Reports toExecutive Vice President, Residential Operations
