Position: Executive Assistant to the President

Position Summary

Reporting directly to the President, the Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the President. This position also serves as a liaison to the Board of Trustees and senior leadership team, organizes and coordinates executive outreach and external relations efforts, and oversees special projects housed in the President’s office.

The Executive Assistant must be able to work under pressure and deal with highly sensitive and confidential issues that require a high standard of professionalism, efficiency, personal communication, discretion, and independent judgment.

Position Specific Responsibilities
  • Serve as the primary point of contact for the President and liaison to senior leadership, as well as internal and external University stakeholders.
  • Exercise oversight of the President’s calendar; prioritize and schedule time to ensure the President’s equitable exposure to internal and external constituencies.
  • Ensure effective communication and coordination with the President regarding upcoming commitments and responsibilities and follow up accordingly.
  • Handle executive-level, multifaceted projects and activities—complete expense reports; compose and prepare correspondence that is often confidential; arrange detailed travel plans, itineraries, and agendas; and compile documents for travel-related meetings.
  • Manage office operations, including workflow, budget operations, event planning, and critical deadlines; ensure accuracy and forward momentum for all assigned projects.
  • Address and resolve complaints and inquiries referred to the President from administrators, faculty, students, parents, donors, the Board of Trustees, and external constituents.
  • Communicate directly, and on behalf of the President, with Board members, donors, and others on matters related to the University’s mission and initiatives.
  • Assist in coordinating the agenda of senior leadership team meetings and all-staff meetings.
  • Manage special projects for the President, handling conflicting needs and tight deadlines with proactive follow-through.
  • Successfully complete critical aspects of deliverables with a hands‑on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the President's ability to effectively lead the University.
  • Create systems for efficient management of office files and records.
  • Review, edit and proofread all assigned projects for accuracy and detail.
Board Support and Liaison
  • Serve as the President's administrative liaison to the University’s Board of Trustees.
  • Assist Board members with travel arrangements, lodging, and meal planning as needed.
  • Maintain discretion and confidentiality in relationships with all board members.
  • Coordinate all aspects of Board of Trustees meetings.
  • Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters, including advance distribution of materials before meetings in electronic/paper format.
University-Wide Responsibilities
