Role Description

The Intelligent Assistant is a part-time, on-site role based at Intelligent Office Southlake in Southlake, TX. In this position, the Intelligent Assistant will greet and assist visitors, manage incoming calls, and provide high-quality customer service to clients and their customers. Daily tasks include handling scheduling requests, managing meeting room reservations, supporting mail and package handling, and performing general administrative duties such as data entry and document preparation.

The role also involves coordinating with other team members to ensure smooth office operations, maintaining a professional and organized workspace, and responding promptly to client requests. The Intelligent Assistant will use office technology and tools to support clients’ business needs and help create a welcoming, efficient environment.

Qualifications
  • Strong customer service and client-facing skills, with a professional and friendly demeanor.
  • Administrative and office support abilities, including scheduling, document handling, and data entry.
  • Proficiency with common office software and communication tools (e.g., email, word processing, spreadsheets, phone systems).
  • Effective verbal and written communication skills, with attention to detail and accuracy.
  • Ability to prioritize tasks, manage time effectively, and work independently in a fast-paced environment.
  • Collaborative mindset and reliability in supporting team members and office operations.
  • Prior experience in an office, receptionist, or administrative support role is beneficial.
  • High school diploma or equivalent required; additional education or training in business or administration is a plus.
