Position Summary
THIS POSITION IS FOR 7 HOURS PER DAY AT 180 DAYS PER YEAR.
PAY FOR POSITION: PSE Salary Schedule Level 4 - $23.50 (25-26 PSE salary schedule)
This position provides a variety of office support to an assigned program, including receptionist activities, composing and typing correspondence and reports, record tracking, budget tracking, customer service, computer operation, and maintaining knowledge of program rules and regulations.
Essential Functions- Maintains program records, tracks compliance, inputs data, produces reports, and monitors grant monies.
- Prepares newsletters, routine forms, memoranda, and proofreads materials.
- Answers telephone, greets visitors, provides program information, routes callers, takes messages, maintains communication lines, and provides a service‑oriented relationship.
- Reviews and balances budgets, monitors receivables, and makes coding error changes.
- Maintains inventory and records.
- Operates computer and software packages such as word processing, spreadsheets, databases, and publishing applications; provides routine and custom reports.
- Maintains current knowledge of program rules, regulations, laws, and procedures; processes materials for compliance.
- Tracks projects and deadlines, coordinates with others, and reports enrollment counts.
- Provides clerical support: typing, correspondence, calendar management, travel arrangements, file maintenance, minutes, agendas, and general office work.
- Opens and routes incoming mail, and screens mail as appropriate.
- Models appropriate behavior, protects confidential information, and follows ethical guidelines.
- Provides backup and peak load assistance.
- Works with auditors and program compliance personnel.
- Purchases refreshments for meetings and tracks expenses.
- Serves on district committees and work teams, modeling ethical behavior.
- Performs related duties consistent with position scope.
Reports to assigned administrator and may receive direction from multiple program personnel.
Mental DemandsRequires adaptation to shifting priorities, concentration, attention to detail, and occasional interaction with distraught individuals.
Physical DemandsExposed to visual display terminals for prolonged periods. Required to sit. Some positions may require travel to various school sites.
Minimum QualificationsEducation and Experience — Two (2) years of training in secretarial procedures, maintaining detailed records and customer service.
Allowable Substitutions — Advanced training may substitute up to one (1) year of experience.
Required Knowledge, Skills, and AbilitiesEffective oral and written communication, customer service, office procedures, VAX system knowledge, bookkeeping, budgeting spreadsheets, keyboarding, data entry, office machines, software applications, grammar, arithmetic, and confidentiality.
Licenses /Special Requirements
Fingerprinting and background check, district infection control training, valid Washington state driver's license with good driving record may be required.
