Job Overview

PTS Expeditionary Communications is seeking a meticulous and highly organised File Manager to join our team. The successful candidate will be responsible for overseeing the management of our company's physical and electronic records. This role is crucial for ensuring that our information is securely stored, well-organised, and easily accessible to authorised personnel, thereby supporting the efficiency and compliance of our operations.

Salary: $61 - $79 USD per hour

Responsibilities
  • Develop, implement, and maintain effective filing systems for both electronic and physical documents.
  • Establish and manage procedures for record-keeping, ensuring documents are correctly classified, stored, and archived.
  • Control access to sensitive information and ensure compliance with data protection policies and legal regulations.
  • Manage the entire lifecycle of documents, from creation to disposal, in accordance with company policy.
  • Train staff on proper document management procedures and best practices.
  • Conduct regular audits of the filing systems to ensure accuracy, quality, and integrity.
  • Retrieve files and documents for staff members promptly and efficiently.
  • Liaise with different departments to understand their record-keeping needs and provide support.
Qualifications
  • Proven experience as a File Manager, Records Manager, or in a similar administrative role.
  • Exceptional organisational and time-management skills with a methodical approach to work.
  • Strong proficiency in document management software and the Microsoft Office Suite.
  • A thorough understanding of data protection principles and records management standards.
  • Meticulous attention to detail and a high level of accuracy.
  • Excellent written and verbal communication skills.
  • The ability to handle confidential information with the utmost discretion and integrity.
  • A relevant qualification in information management, archival science, or a related field is desirable but not essential.
