Job Description
As the first Office Administrator at Bitdeer’s new Sparks manufacturing facility, you will be a backbone of the site’s launch. You will partner directly with the Facility General Manager as we build into a world-class manufacturing site. This isn't a typical "steady state" admin role—you will be helping to manage the chaos of a new build, helping to set-up vendor accounts, and partnering as we establish culture for our first 50+ employees.
Key Responsibilities to Include Administrative Leadership- Department Support:
Manage calendars and travel logistics for the GM and visiting executive leadership. - General Office Support:
Day-to-day office duties - Budgeting:
Track site-level expenses, process invoices, and manage the office procurement budget. - Standard Operating Procedures (SOPs):
Design and document the workflows for how this office will run—from mail distribution to visitor check-in protocols.
- Vendor Onboarding:
Act as a point of contact for all non-production vendors (janitorial, security, catering, waste management, and office supplies). - Punch-List Support:
Assist the GM and construction teams in tracking facility completion, coordinating furniture deliveries, and managing badge access for contractors. - EHS Coordination:
Support the Environmental, Health, and Safety (EHS) team by maintaining safety signage, organizing first-aid supplies, and ensuring the front office meets all compliance standards.
- Hiring Wave Logistics:
Partner with HR to coordinate on-site interviews and manage the "Welcome" experience for an initial hiring push. - Event Planning:
Organize "Launch Milestones" and team-building events to keep morale high during the high‑pressure build-out phase.
Required Qualifications
- Experience:
3–5+ years in office management or administration, ideally within a manufacturing, industrial, or high‑tech environment. - Bilingual:
Mandarin and English speaking, reading and writing. - Adaptability:
Proven track record of working in a "start‑up" or "launch" environment where processes weren't yet defined. - Tech Savvy:
High proficiency in Microsoft 365/Google Workspace and experience with ERP or Procurement software. - Grit:
You aren't afraid to put on a hard hat to check a delivery or move a box of supplies to get the job done.
- Experience supporting a General Manager or Plant Manager.
- Basic understanding of OSHA record‑keeping or facility security systems.
