summary description
under general direction, performs and oversees various and complex registration and secretarial responsibilities at a high school. The school registrar processes records and documents; registers and withdraws students; and processes variances. Incumbent performs related work as required.
essential duties and responsibilities
registration & enrollment support
- assists students and parents/guardians with online registration.
- reviews and approves registrations, verifying accuracy of legal name, birth certificate, address, guardianship documentation, and immunization records.
- assists with student withdrawals, including completion of electronic withdrawal forms and ensuring all teachers submit withdrawal grades.
- generates variance reports to identify students outside of assigned school zones.
- maintains database and calculation systems for student graduation information, including diploma types and special designations (e.g., millennium scholars).
- collaborates with school counselors to ensure diploma types and graduation requirements are accurate and consistent.
- calculates grade point averages (gpa), class rank, recognitions, and class size.
- posts academic and graduation data to student electronic permanent records.
- manages student cohort data, ensuring accurate cohort assignment and appropriate leave codes.
- tracks withdrawn or "vanished" students and exhausts all efforts to locate them.
- provides the principal with dropout/vanished student reports as requested.
- compiles, balances, and troubleshoots district and state reports on a monthly basis and as requested.
- opens grading windows for teachers.
- reviews grades for accuracy and consistency.
- maintains and processes grade changes.
- answers telephones and prepares various documents.
- assists students and parents with questions regarding transcripts, credits, and gpa.
- supports counselors with inquiries related to grades, credits, and transcripts.
- communicates with other schools to obtain records and verify grades.
- attends required registrar meetings and ongoing training sessions.
- cross-trains office staff to provide coverage as needed.
- performs general secretarial duties and supports other office staff when required.
