As an Administrative Coordinator II, you will play a crucial role in supporting our facilities' operations and managing daily administrative tasks while providing top-tier customer service to both internal and external stakeholders.
In this role, you will offer proactive administrative support to multiple leaders and employees. Your responsibilities will include maintaining and assisting another administrative professional with office and breakroom supplies, conference room setups, the support of internal and customer meetings, and handling business meal support requests. You will also help employees prepare and submit expense reports and manage the creation and submission of indirect purchase requisitions as needed.
Timely execution of clerical duties such as copying, scanning, and data entry will be part of your daily routine.
You will support our administrative team by keeping us organized, on track, and operating efficiently, while also providing support to the operations facilities as needed. This position demands excellent organizational skills, attention to detail, strong communication abilities, and the capacity to multitask and work under pressure. Additionally, you will contribute to the completion of various projects and goals for both Operations and the MST Administrative team.
The Mission Solutions and Technologies (MST) business area provides affordable, turn-key command/control, communications, integrated ISR, force protection and security solutions worldwide. The MST team has a long legacy of supporting the Department of Defense, Department of Homeland Security, commercial and international customers with years of experience in platform operations, engineering and full lifecycle management across domains – air, land, sea, space and cyber.
Responsibilities:- Coordinating and scheduling meetings and appointments including booking of conference rooms
- Assisting employees & leaders with coordinating travel arrangements and expense reports as needed
- Creating & submitting indirect purchase requests as needed
- Managing office and breakroom supplies and inventory to ensure that resources are adequately stocked and available
- Assisting with coordinating office events and activities to foster a positive work environment and employee engagement
- Supporting internal and customer meetings, including working with vendors for meal deliveries
- Helping cover the front desk at the corporate office when required, providing a professional and welcoming environment for visitors and staff
- Assisting in process enhancement efforts and testing new tools for the organization
- Ensuring compliance and company policies and procedures, while maintaining high standards of organizational governance
- Handling other administrative tasks as needed
- High school diploma or equivalent.
- 3+ years of relevant experience in office administration or administrative support.
- Higher level relevant degree may substitute for experience.
- Beginner to intermediate use of Ticketing Systems (e.g. Service Now), Seating Software (e.g. Visual Directory), and Procurement Systems (e.g. Ivalua).
- Experienced in Microsoft Office Suite (e.g. Word, Excel, Outlook, Teams, One Note and SharePoint Online), Multi-line Phone Systems (e.g. Cisco Attendant Console), and Facility Access Control Systems (e.g. C-Cure, Splan VMS).
- Associate's degree in Business Administration or related field.
- Prior experience in the Aerospace and Defense industry.
- Advanced knowledge of Workday or similar HRIS systems.
- Knowledge and hands-on experience with AI tools and applications
- Administrative certifications can be advantageous.
- Basic knowledge of administrative practices and clerical tasks and exposure to office environments.
- Professional demeanor and excellent communication skills.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Ability to manage time effectively and work well in a team.
- Assist in identifying straightforward problems and contribute to developing solutions under guidance.
- Experience with maintaining a secured facility, or working in a U.S. military or Department of Defense (DOD) environment.
- Experience with industry standard security and safety protocols.
- Ability to lift up to 20 lbs.
- Ability to stand or sit for long periods.
- High proficiency with computers and office equipment.
- Manual dexterity for handling office supplies and equipment.
- Ability to work in an office or hybrid environment.
- Ability to travel may be required.
