Summary of Position:
The Administrative Assistant Health & Public Safety supports faculty, staff, and students by coordinating classroom logistics, scheduling, student services, and compliance tasks. Responsibilities include preparing materials, maintaining records, supporting hiring and payroll, and managing communications and data reporting. The role ensures smooth operations across meetings, travel, and special projects while upholding confidentiality and regulatory standards. This position will be located in the Sparta Public Safety & Training Center.
Essential Functions:
1. Maintain and uphold the College values of Learning, Excellence, Accountability, Diversity, Student Success, Teamwork, Integrity, and Respect. Regular attendance is required.
2. Perform office functions which may include, but are not limited to: respond to internal/external customers and staff; create and modify documents, records, and reports using College standard software; maintain hard copy and/or electronic filing system; monitor inventory and budget information; schedule, coordinate, and prepare materials for meetings and/or appointments.
3. Complete all required College training and responsible for maintaining the skills necessary to complete the essential functions of the position as defined by the department.

5. Administrative Support
- Supporting Action/Task May Include:
- Create, organize, and format accreditation documents according to prescribed requirements
- Coordinate and schedule advisory committee meetings
- Provide program related clerical support for supervisor and assigned faculty as requested, including budget reports
- Complete hiring paperwork for adjunct and other part-time staff
- Communicate effectively with internal and external stakeholders using appropriate verbal and written skills
- Proctor exams
- Respond to questions regarding program admission requirements
- Ensure accuracy and currency of program documents
- Room scheduling at the Public Safety Training Facility, manage brochures, and ensure student immunizations are current
- Ensure confidentiality of student information under FERPA and HIPPA
- Coordinate division projects and other duties as assigned
- Process timecards, payroll and budget management as needed
- Support and provide backup for other office personnel
- Schedule and coordinate meetings, appointments, and travel for the coordinators
Qualifications:
Minimum Qualifications:
Associate degree OR Education combined with appropriate occupational experience in related field totaling 2 yrs OR Occupational experience in related field totaling 2 yrs.

Starting annual/hourly salary range based on education and experience: $22.28 - $28.54
