The Housing & Supports Specialist is responsible for managing all aspects of HUD (U.S. Department of Housing and Urban Development) leasing for agency-supported residences, overseeing CACFP (Child and Adult Care Food Program) monthly/annual reporting, and administering probate-related processes for deceased clients. This position ensures accuracy, timeliness, and regulatory compliance across housing, nutrition program reporting, and estate activities. The Specialist will regularly communicate with internal departments, external agencies, clients/families, landlords, and vendors.
Key Responsibilities:HUD Leasing & Housing Administration
- Manage the full lifecycle of HUD leasing, including intake, eligibility verification, rent calculations, reasonable accommodation documentation, lease creation, renewals, recertifications, and terminations.
- Maintain organized leasing files and all HUD‑required documentation. Ensure timely notices and recertifications.
- Coordinate property inspections (move‑in/move‑out, HQS), damage assessments, and security deposit reconciliations.
- Communicate professionally with residents, guardians, landlords, property managers, and internal teams regarding rent changes, compliance requirements, and lease updates.
- Track rent delinquencies and support payment plan processes in accordance with policy and legal guidelines.
- Collaborate with Finance on rent postings, subsidies, reconciliations, and audit readiness.
- Support policy updates and assist in internal training related to HUD compliance.
- Prepare, review, and submit accurate CACFP meal counts, enrollment records, menus, production records, and claims within required deadlines.
- Monitor site documentation for accuracy and compliance; coordinate corrective actions when needed.
- Support internal monitoring and maintain readiness for sponsor or state reviews.
- Train staff on CACFP rules, documentation standards, and record retention.
- Stay current on CACFP regulations and implement necessary process improvements.
- Manage probate processes for deceased clients, including notifications, document collection, and coordination with Probate Court.
- Prepare and maintain accurate decedent files, inventories, final statements, and disbursement records in compliance with policies and legal requirements.
- Collaborate with legal counsel, Finance, and external entities to ensure proper estate settlement and account closure.
- Maintain strict confidentiality and adhere to HIPAA and PII requirements.
- Prepare reports, dashboards, and audit packets; respond to audit or review inquiries.
- Contribute to policy development, staff training, and interdepartmental collaboration.
- Minimum age: 18
- High School Diploma
- Minimum of one year of hands‑on computer experience.
- Experience with HUD programs and CACFP is required.
- Ability to work efficiently with minimal supervision and manage multiple assignments effectively.
Some travel may be required.
