Student Information System Coordinator
Coordinates and oversees the District's Student Information System (SIS) including the proper enrollment of students and the integrity and smooth operation of the Student Information System. The SIS Coordinator oversees the enrollment of students and collaborates with various local and state agencies to secure relevant information and submit required forms. The SIS Coordinator oversees aspects of student enrollment, manages the district's student information database (i.e. Power School), runs queries to extract information, coordinates data reporting to the South Carolina Department of Education (SCDE) and trains/supports users, working closely with all school stakeholders.
The SIS Coordinator supports the Office of Assessment in ensuring timely and accurate data. The SIS Coordinator serves as a liaison with school personnel, provides training and assistance to school-based Student Information Clerks, and ensures the coordination and execution of all data transmittals to the SCDE. Reports to the Assistant Superintendent of Academics.
Utilizes specialized computer-driven file maintenance, word processing and spreadsheet programs which are part of the student information system to develop and maintain records of student attendance, class schedules, grades, demographic statistics, immunizations, etc., and to generate federal, state, and local reports. Monitors, inputs, audits and updates a wide variety of data into assigned computer systems; establishes and maintains various automated records and files;
initiates queries and develops spreadsheets; generates and prints a variety of mandated and requested computerized reports; assures accuracy of input and output data. Compiles, assembles, and verifies data for a variety of mandated and requested computerized records and reports; analyzes and responds to data requests; prepares requests for processing; manipulates data as appropriate. Establishes timelines and priorities for production runs and related projects;
assures mandated reports are completed and distributed to appropriate agencies or staff according to timelines and procedures. Assists school-based personnel in implementing standards and operating procedures established for management of student data. Assists in providing instruction and disseminating information to Principals and other school administrators regarding student information requirements for the operation of the student information management system. Trains and provides assistance to system users concerning system applications (e.g., Power School, Parent Portal, Power Teacher), operations and functions as assigned;
provides information concerning related standards, requirements and procedures. Provides initial technical support, troubleshoots and resolves application and data issues where necessary, assisting assigned user(s) with data management, system schedules, problems, procedures and requirements for assigned projects. Coordinates with district department heads, Principals, School Counselors and Student Information System Clerks to ensure that all data entry is completed accurately and in a timely fashion.
Serves as the primary data contact person for state agencies dealing with the District. Serves as a liaison between district and school level program administrators to ensure accurate, thorough, and effective use of data. Creates training materials and delivers school-based training, participates in district-wide meetings, training activities and the distribution of appropriate information. Meets with Student Information System Clerks, Registrars and/or Attendance Clerks and other district personnel on a regular basis to discuss and resolve various data management issues.
Assists with and/or corrects data entry as necessary and where appropriate. Performs all necessary activities related to data extraction for district instructional software, testing, and grant development and reporting for district, state and federal accountability, and funding requirements. Communicates with departmental staff, external agencies and others to request data, exchange information and resolve issues or concerns. Operates a variety of standard office equipment including a calculator, copier and fax machine;
attends and participates in a variety of meetings and in-services as assigned. Collects and compiles statistical data from assigned users for use in the district and notifies appropriate staff of system, programming, and/or production problems impacting the accuracy or expediency of output data/reports. Maintains and/or prepares records, reports and logs related to assigned functions. Receives, reviews, analyzes, and verifies incoming data for accuracy and completeness, serving as final checkpoint before computer processing/submission occurs.
