Overview

The Lead Patient Services Representative position receives, coordinates and implements the initial patient experience by providing critical functions essential to ensuring proper clinical treatment, billing and reimbursement, patient satisfaction as well as efficient and accurate handling of the patient registration process. Additionally, this individual will work alongside the Group Practice Manager assisting with clerical and non-clerical duties while the GPM or Sr.

GPM is away from the office.

Duties And Responsibilities
  • Ensures proper utilization of the electronic health record (EHR) and other systems to support efficient clinic workflows.
  • Accurately completes patient registration in the EHR, maintaining the integrity of demographic, insurance, and financial information for all patient encounters.
  • Researches and resolves registration discrepancies related to demographics, insurance, and clinical accuracy.
  • Manages time and work processes effectively to meet departmental and organizational expectations.
  • Maintains HIPAA compliance, confidentiality, and appropriate handling of sensitive patient information.
  • Schedules patient appointments and supports smooth patient flow throughout the clinic.
  • Verifies insurance benefits and ensures financial clearance for all payors at each encounter via phone or web portals.
  • Provides patients with estimated financial responsibility for services rendered or requested.
  • Ensures accurate billing and payment collections in accordance with the Sliding Fee Scale and applicable health plans.
  • Processes patient payments accurately and ensures proper account posting.
  • Completes waiver of fee forms and payment estimate letters to support payment collection when applicable.
  • Maintains an accurate cash drawer, completes reconciliation, and prepares deposits as required.
  • Approves Sliding Fee Scale applications in the absence of the GPM or Senior GPM.
  • Assists the GPM or Senior GPM with daily operational support, including reviewing staffing schedules.
  • Performs additional duties as assigned to support clinic operations and the delivery of high-quality primary health care.
  • Understands and adheres to state and federal regulations, as well as system policies related to compliance, integrity, and ethical registration practices.
  • Demonstrates knowledge of and compliance with HRSA and ReGenesis Health Care program requirements.

Requirements
  • Proficiency with EMR systems and software applications, including Microsoft Office Suite.
  • Excellent written and oral communication skills.
  • Proven diplomatic approach to complex situations.
  • Ability to work independently and with a team collaboratively.
  • Confidence to bring project issues to management and implement innovative approaches.
  • Ability to foster a collaborative team environment and embrace a culturally diverse setting.
  • Ability to work M- F from 8am-5pm with flexibility to work project needs.
  • Ability to provide coverage at all ReGenesis Health Care locations.
Education
  • High School diploma with more than 2 years’ experience in the public health care system
  • Associate’s Degree in health/social sciences preferred
  • Working knowledge of medical terminology
  • Bilingual a plus
