This recruitment is open to all applicants meeting the minimum requirements. Priority consideration will be given to Spokane County employees in a position covered by the 1553 Collective Bargaining Agreement (CBA) submitting applications between 1.15.26 and 1.23.26. First consideration will be given to applicants working in the County Clerk's office in a position covered by the 1553 CBA; second consideration given to County-wide applicants in a position covered by the 1553 CBA;
third consideration given to all other applicants, including the public.
The position allocated to this class is responsible for performing specialized clerical work in the Spokane County Clerk's Office by processing and maintaining all Superior Court legal court records and representing the County Clerk in Superior Court hearings. This position is under the general direction of the County Clerk or designated supervisor. The position allocated to this class is responsible for the accurate, complete and timely processing, imaging and maintenance of official court records, and to complete mandated responsibilities as determined by statute in court.
Including proper care and custody of exhibits, maintaining minutes, recording of hearings, and keeping an accurate and permanent official court record prior to, during and after court involvement of cases.

**** ESSENTIAL JOB FUNCTIONS
*** Attends Court proceedings as directed by the Clerk, or designated supervisor, to record hearings if needed, complete accurate minutes, and mark and record status of exhibits to ensure safekeeping of all exhibits and documents.
* Prepares, processes, and enters with State-issued codes all legal documents filed into the statewide and county document management systems, and schedules court hearings, when necessary; all within mandated timelines.
* Processes and enters all types of protection orders, ensuring law enforcement has been accurately notified. Assists the public in person and telephonically with general directions and provides copies when necessary.
* Receives, processes, and issues legal documents such as warrants, bonds, and summons.
* Reviews and makes decisions on all electronic filings to include rejecting, routing, or filing. Provides experienced support regarding questions with electronic filing by the public and other agencies.
* Reviews, prepares, and scans documents into the Imaging system, and indexes and links them to state and county document management systems; and ensures the image is accurate as the permanent official court record, wherein the integrity of the image must be maintained in perpetuity.
* Creates and maintains records, updates the court database with pleas, dispositions, sentences, and motions.
* Prints, faxes, and distributes images and/or documents as required to various county, state departments, and agencies, ensuring the safekeeping of confidential court records.
* Enters and processes all appeals from courts of limited jurisdiction, appeals to courts of higher jurisdiction, and changes of venues to other counties.
* Completes projects such as assuring quality control of filed documents, clerk’s dismissal, and other duties as assigned.
** EDUCATION AND EXPERIENCE REQUIREMENTS
*** High school diploma or GED equivalent.
* One (1) year of experience at a level equivalent to an Administrative Support Specialist
3. Legal Secretary, or Paralegal in a related work area.
* Can substitute for up to two (2) years of other clerical work.
* Two (2) years of education (AA or Bachelor’s) may be substituted for the general clerical work experience.
