Job DescriptionThe Administrative Assistant supports daily operations at the service center by assisting both the onsite Facilities Coordinator and the Service Manager with administrative, customer service, and operational duties. This part‑time role (not to exceed 24 hours per week) requires strong organizational, communication, and decision‑making skills to manage tasks independently and ensure smooth workflow across departments. The position also involves maintaining accurate records and inventory, preparing documents, coordinating schedules, and providing a professional, helpful presence for customers and internal staff.
Proficiency in Microsoft Office, Google Suite, and data‑entry tools is essential, along with the ability to handle confidential information responsibly.
This is a part‑time position with an average of 24 hours per week. Hours may fluctuate as needed to support operations but will not exceed 25 hours per week.
Responsibilities Include but are not limited to:
- Manage customer walk-ins, phone calls, and service requests in a welcoming and cheerful manner, routing them to the appropriate personnel as needed and maintaining a log of inquiries and resolutions
- Physically Receive and Process material delivered to the Service Center. The Receiving is inclusive of processing the receipt in the ERP system as well as physically putting the material into the correct inventory location.
- Allocate received material to customer orders as appropriate and notify customers as appropriate.
- As appropriate, and at the direction of the sales team, assist with local marketing efforts, such as community events and partnerships, to increase brand awareness and drive customer engagement with the service center
- Maintain an organized inventory of materials with accurate quantities reflected.
- Package and Ship customer orders as appropriate.
- Order office supplies.
- Maintain contact lists
- Decision-making skills to work autonomously and manage specific tasks
- Communication and collaboration skills to support personnel, management and clients
- Organizational skills
- Writing skills to ensure emails, letters, documents and social media posts uphold the brand identity
- Familiarity with data entry software, such as Excel, Sheets orNet Suite
- Proficiency in office software (Microsoft Office, Google Suite, Excel, Net Suite)
- Calendar and schedule management skills
- Knowledge of office procedures and equipment
- Familiarity with customer service principles
- Ability to handle confidential information responsibly
- Ability to work well with a team and deliver superior customer service.
- Strong communication and interpersonal skills.
- Experience working in a distribution center or similar environment.
- Experience with Radios or similar technical skills
- Experience using windows 11 and software
- Experience in production operations or related field.
- Strong knowledge of production processes and supply chain management.
$18 - $22 an hour
Expected salary range does not include annual bonus and other benefits.
