The position allocated to this class performs responsible, specialized clerical functions and administrative support related to judicial proceedings in District Court. The incumbent manages court records, case files, assists Judicial Officers and other court personnel, and ensures the accurate recording and smooth operation of judicial proceedings. Under the general direction of the District Court Administrator or designee, duties are performed in an independent environment, requiring the incumbent to perform responsibly within the guidelines of law or approved policy.

* Job Description:

**** ESSENTIAL JOB FUNCTIONS
*** Attends court proceedings, keeps detailed records, processes orders, takes notes on dispositions and identifies who appears.
* Enters all criminal judgment and sentence orders into the JIS system. Prepares Department of Licensing reporting abstracts.
* Processes and enters all criminal restraining orders, ensuring law enforcement has been accurately notified.
* Scans and indexes documents into the DC Imaging system; and ensures the image is accurate as the permanent official court record.
* Prints, faxes, and distributes images and/or documents as required to various county/state departments and agencies, ensuring the safekeeping of confidential court records.
* Reviews Judicial Officer's calendar for correctness; ensures appropriate number of cases are being set.
* Provides appropriate dates for scheduling orders to private attorneys and public defenders.
* Journalizes proceedings of trials, hearings and orders; receives and files pleading and verdicts.
* Files dockets within statutory limits.
* Prepares legal documents; verifies and reports to all agencies.
* Enters critical data, including court dates, into statewide database system.
* Interacts with the general public, both in and out of the courtroom.
* Performs other related duties as required/assigned.
** District Court
- Civil Division:
*** Responsible for the initial filing of civil protection orders and other legal documents. Verifies the jurisdiction and venue are correct, signatures are affixed and the proper filing fee received. Enters cases into the statewide computer system.  Prepares folders and files documents.
* Processes all civil protection order documents filed with the court by making appropriate docket entries in the computer system and by taking action on the issues indicated.
* Provides information in person and via telephone, researching cases, explaining procedures and assisting in problem resolution.
* Calendars civil protection order cases in the case management system; schedules and issues hearing notices.  Prints computer-generated calendars and dockets; manages the electronic files and ensures the record is ready for court.
* Responsible for the retention and preservation of civil protection order case records, in compliance with the Secretary of State Retention Schedule.
* Assists the Civil Department Supervisor with preparing and transmitting the court record on appeal, verifying that case information is accurate and the appeal is filed in a timely manner.
