What this job involves
- The Facilities Coordinator will provide support to the Site and/or Facility team with operational activities in maintenance and operations, accounting and finance, vendor oversight, equipment and supplies, occupancy services, utilization of the CMMS platform, and other general duties as requested. The person in this role will also proactively develop and maintain client relationships ensuring that expected service levels are achieved.
What is your day to day?
* Actively support an environment of teamwork, cooperation, performance excellence, and personal success, in accordance with all agreed policies, procedures and contract scope.
* Assist Facility Management Team with tactical planning for the team's goals and objectives
* Provide facility specific assistance to the project management team as needed or requested
* Schedule and manage repairs and maintenance, minor works and other work requests, tracking to completion.
* Build supplier relationships and assist vendors with site visits, onboarding, and other needs as necessary
* Provide information and direction to vendors, facilities staff, and other service providers as required to ensure excellent coordination and execution of work, with minimal disruption.
* Assist with the coordination and scheduling of maintenance activities and the procurement of vendors and service as required.
* Update and maintain accurate records and official documentation for the site/s, ensuring appropriate follow up with vendors, stakeholders, and clients.
* Provide general overall facility management services including continuous monitoring of office/facility
* Act as an interface with client, visitors, and guests
* Conduct daily walkthroughs to ensure clean and organized spaces.
* Respond to all work orders in a timely manner, ensuring KPI compliance and excellent customer service.
* Provide direction/information to vendors, facilities staff, and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption.
* Coordinate the delivery of site amenities and support moves as required, acting as the site key point of contact.
* Provide coordination and support events, meeting and conference facilities as required.
* Identify opportunities for improved operation and service excellence, making recommendations for conduct site inspections and assessments to ensure all building procedures and performance measures are always maintained and the provision of a safe workplace.
* Responsibility for asset data entry and updates into the CMMS platform; update and maintain accurate records and official documentation for the site/s.
* Testing of CMMS functionalities as needed
* Assist with the creation and dissemination of reports as required
* Deliver an exceptional quality of service, as reflected by client feedback.
Desired experience and technical skills
Required
* 2+ years' experience with Facility or Property Administration
* GED or High school diploma
* Superior customer service skills and orientation
* Excellent listening, verbal, and written communication skills
* Ability to multi-task, plan and manage under time constraints
* Proficient in MS Office and MS Share Point; must be proficient at Excel Spreadsheets and have capability of customizing administrative reports
* Computer proficiency in CMMS/Work Order systems
* US citizenship is required for this position due to government contract requirements
Preferred
* Ability to work without direct supervision
* Strong organizational skills and collaborative style
This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship.
Estimated compensation for this position:
70,000. USD per year
This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
