Job OverviewThe position will be shared with Spokane Young Lives (a ministry to teen parents) and provides administrative support to enable the Young Life field ministry area office to function efficiently.
Responsibilities- Communication: answer correspondence, file, prepare mailings, handle phones, respond to voicemail, email and calls promptly, gather materials for newsletters, create club/event postcards, flyers, maps, send prayer e‑mails, monthly updates, personal support mailings, maintain area M‑Site, send thank‑you letters to donors.
- Administration and tracking: process and track donations, maintain donor and leader databases, keep leader forms/driver questionnaires/background checks up to date, manage monthly expenses and budgets, account for area bank account records, FDT, expense reports.
- Accounting: pay bills, submit bank account records/purchase card expenses and donations, evaluate financial status monthly, update FDT.
- Contact database maintenance: update donor and parent databases, manage club card data, maintain newsletter recipient list, banquet invitation list, email distribution lists for clubs, campaigns, committee, leaders, and prayer partners.
- Human Resources for Regional Administrators: track and report vacation, sick and personal days for eligible area staff, submit timesheets for hourly staff, complete Personnel Action Requests and required documents to hire/terminate area staff, forward to region for approval.
- Event Administration: coordinate area meetings (staff meetings, leadership meetings, committee meetings); track camp participation, payments, health forms; send letters to parents; handle fundraiser marketing, brochures, camp contracts, deposits, forms; coordinate banquets, golf marathons, auctions; create invitations, sponsor packets, tables host packets; track guest lists, table sponsors, RSVP, donations; mail invitations and thank‑you notes.
- Training: provide training on processes and applications to area office assistants, directors, committee, volunteer team leaders.
Education:
High school education or equivalent;
Associate’s degree preferred; ongoing education encouraged.
Experience and Skills:
Previous administrative assistant experience preferred. Ability to type 55–60 words per minute with few errors. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Strong organizational skills with attention to detail, ability to handle concurrent tasks and interruptions. Good grammar and communication skills. Ability to maintain confidentiality. Basic accounting skills. Multi‑tasking, relational skills, initiative, customer service skills.
