Building Administrative Assistant
The job of Administrative Assistant II provides a variety of office support and/or secretarial duties for a specified building or program. This position reports to the Building Principal/Program Administrator/Department Supervisor.
The essential functions include:
- Performing a wide variety of assignments which are sometimes confidential in nature; operate personal computer to enter data, draft, edit, revise, and print letters, tables, and reports and other materials.
- Providing courteous, efficient, positive, and welcoming atmosphere to students, staff, parents, administration and community including answering phones in a consistently positive and friendly tone, and performing a variety of other office functions.
- Working as a team member, relating positively with students, staff, and the community at large.
- Responding to multiple questions and requests from students, staff and parents in a positive, professional and timely manner.
- Maintaining a highly organized and efficient file system.
- Performing a range of staff and/or operational support activities; may serve as a liaison with other departments on basic administrative and/or operational matters.
- Maintaining strict level of confidentiality.
- Overseeing and facilitating work-flow as needed.
- Performing duties and responsibilities as needed in the health room.
- Performing related duties as assigned.
Minimum qualifications include:
- AA Degree or equivalent education and/or work experience.
Knowledge, skills, and abilities include:
- Demonstrated ability to effectively prioritize work in an environment with multiple, simultaneous tasks.
- Considerable knowledge of and ability to use personal computers and related software.
- Ability to maintain accurate records.
- Ability to identify routine problems and propose feasible solutions.
- Ability to multi-task and work independently.
- Strong organizational skills and the ability to work well under pressure and to meet deadlines.
- Strong interpersonal skills and the ability to work professionally with persons at all levels.
- Excellent writing and verbal skills and the demonstrated ability to develop written reports and action plans.
- Ability to project a positive, concerned image to the public.
