This position is responsible for scheduling patient appointments and tests in an efficient and timely manner. Answer incoming calls and direct calls to appropriate personnel as needed. Serve as a liaison between patients and medical staff. May be designated as the lead employee. May orient, train and assign the work of other employees as requested by supervisor. Support and adhere to the Cancer Care Northwest Compliance Program, including the Code of Ethics and Business Standards.
ResponsibilitiesAnswer all incoming calls; assess callers' needs and direct appropriate personnel. Page clinic personnel as appropriate. Obtain and communicate messages in an accurate and timely manner. Schedule outpatient appointments, referrals, testing, hospital surgeries and hospital admissions upon request. Obtain necessary pre‑certification as required.
- Schedule return appointments in the computer system in accordance with physician and/or office guidelines. Cancel or reschedule appointments according to physician schedule changes and in accordance with office guidelines; notify appropriate clinic personnel.
- Notify appropriate personnel when authorizations are needed for scheduled services.
- Handle new patient referrals, gather necessary information, register new patients in the computer system and schedule appointments.
- Collect co‑pays, deductibles and other out‑of‑pocket amounts at the time of visit as needed.
- Maintain the primary office scheduling book containing all physician meetings, satellite schedule, vacations and on‑call coverage.
- Handle incoming phone calls from patients who need to schedule or reschedule appointments in accordance with office guidelines.
- Provide patients with accurate and legible appointment cards. Document no‑shows in patients' charts for missed visits. Follow up with patients to reschedule any missed appointments.
- Arrange for patients to receive financial counseling, as needed.
- Demonstrate an understanding of patient confidentiality to protect the patient and clinic/corporation.
- Follow policies and procedures to contribute to the efficiency of the front office. Cover other office functions as requested.
- Handle correspondence, memos, forms and emails as requested by supervisor.
- May provide guidance and daily work directions to other employees as requested by supervisor.
- Perform all other duties/responsibilities as necessary or assigned.
High school diploma or equivalent required. Some college preferred.
At least two (2) years of directly related experience such as medical coding or billing, patient advocacy, or social services required.
