Position Summary

This position is responsible for scheduling patient appointments and tests in an efficient and timely manner. Answer incoming calls and direct calls to appropriate personnel as needed. Serve as a liaison between patients and medical staff. May be designated as the lead employee. May orient, train and assign the work of other employees as requested by supervisor. Supports and adheres to the Cancer Care Northwest Compliance Program, including the Code of Ethics and Business Standards.

Responsibilities

Answer all incoming calls; assess callers’ needs and direct appropriate personnel. Page clinic personnel as appropriate. Obtain and communicate messages in an accurate and timely manner. Schedule for outpatient appointments, referrals, testing, hospital surgeries and hospital admissions upon request. Obtain necessary pre‑certification as required.

  • Schedule return appointments in computer system in accordance with physician and/or office guidelines. Cancel/reschedule appointments according to physician schedule changes and in accordance with office guidelines; notify appropriate clinic personnel.
  • Notify appropriate personnel when authorizations are needed for services scheduled.
  • Handle new patient referrals, gather necessary information, register new patients in computer and schedule appointments.
  • Collect co‑pays, deductible and other out‑of‑pocket amounts at time of visit as needed.
  • Maintain primary office scheduling book containing all physician meetings, satellite schedule, vacations and on‑call coverage.
  • Handle incoming phone calls from patients needing to schedule or reschedule appointments in accordance with office guidelines.
  • Provide patients with accurate and legible appointment cards. Document no‑shows in patients’ chart for missed visits. Follow up with patient to reschedule any missed appointments.
  • Arrange for patients to have financial counseling as needed.
  • Demonstrate an understanding of patient confidentiality to protect the patient and clinic/corporation.
  • Follow policies and procedures to contribute to the efficiency of the front office. Cover for other office functions as requested.
  • Handle correspondence, memos, forms and emails as requested by supervisor.
  • May provide guidance and daily work directions to other employees as requested by supervisor.
  • Perform all other duties/responsibilities as necessary or assigned.
Qualifications

Minimum Qualifications

  • High School diploma or equivalent required. Some college preferred.
  • At least two (2) years of directly related experience such as medical coding or billing, patient advocate, or social services, required.
  • Must demonstrate the ability to verbally articulate information and questions with others in order to perform responsibilities effectively.
  • Must be personable. Proficiency with computer systems, medical billing systems, and Microsoft Office Outlook & Word, required.
Physical Demands
  • Regularly: sit, grasp, reach, talk and hear.
  • Occasionally: stand, bend, stoop/crouch, lift up to 30 pounds, pull/push up to 30 pounds, and carry up to 30 pounds.
  • Vision:
    Clearly see up to 5 feet with or without corrective lenses.
Work Environment

While performing the essential duties/responsibilities of this job, the employee will not be exposed to any workplace environmental conditions caused by extreme noise, heat, cold, workplace hazards, atmospheric dust/fumes/vapors/mists, pathogens, or toxic chemicals.

Salary

DOE – $22.33 – $33.30
