Job Title: Document Control Specialist

Job Description

Responsible for handling both physical and electronic documents. This includes receiving, processing, preparing, scanning, indexing, quality checking, routing, and archiving materials. The role ensures accurate, efficient, and secure management of documents within the organization, supporting multiple teams and workflows.

Responsibilities
  • Process incoming physical documents received via mail or interdepartmental delivery.
  • Prepare physical documents for scanning and digitization.
  • Scan physical documents accurately into the document management system.
  • Index digital documents and perform quality assurance on scanned files.
  • Route documents electronically to appropriate recipients and track completion.
  • Identify process improvements and suggest enhancements to existing procedures.
  • Provide support for special projects, workflow surges, and ad-hoc assignments.
  • Communicate effectively with team members and supervisors regarding document handling and processing needs.
Skills And Qualifications
  • High school diploma or equivalent; additional administrative training preferred.
  • Minimum of 1 year clerical or general office experience; experience in document management, records, or administrative support preferred.
  • Basic knowledge and proficiency in Microsoft Office applications including Word, Excel, and Outlook.
  • Strong organizational skills and the ability to prioritize multiple tasks.
  • Attention to detail and accuracy in processing documents.
  • Ability to work independently with moderate supervision.
  • Familiarity with electronic document management systems and database searching.
  • Knowledge of business principles, industry practices, and general office procedures.
  • Good communication skills, both verbal and written, maintaining confidentiality where required.
  • Physical ability to lift and move documents (up to 25 lbs regularly; occasionally up to 100 lbs), stand, walk, and perform tasks requiring manual dexterity.
  • Ability to work in varying environmental conditions, including heat, cold, or humidity.
  • Specific vision abilities including close vision, distance vision, and color vision.
