Fred Haas Toyota World has an outstanding opportunity for a detail-oriented and organized Finance Secretary to support the Finance and Insurance (F&I) Department. The Finance Secretary plays a key role in ensuring accurate processing of finance documents, maintaining compliance records, and providing administrative support to facilitate efficient dealership operations.
Job Responsibilities- Process and review finance and insurance paperwork for completeness and accuracy
- Prepare and submit contracts to financial institutions and lending partners
- Maintain organized records of finance transactions and customer documentation
- Verify funding status and assist with contract follow-up as needed
- Enter and update customer and transaction information in dealership management systems
- Coordinate with sales, accounting, and finance personnel to ensure timely completion of transactions
- Assist with title, registration, and related documentation when required
- Maintain compliance files in accordance with dealership policies and regulatory requirements
Answer incoming calls and assist customers with finance-related inquiries - Prepare reports and provide administrative support to the F&I team
- Monitor document flow and ensure deadlines are met
- Attend departmental meetings and training sessions as appropriate

Education and/or Experience- High School Diploma or GED required
- Associate degree in Business Administration, Accounting, or a related field preferred
- One to three years of administrative, accounting, finance, or dealership office experience preferred
- Experience working with dealership management systems is beneficial
- Valid driver's license and acceptable driving record preferred where applicable
- Primarily an office environment with regular use of computers, telephones, and office equipment
- Frequent interaction with customers, lenders, and dealership personnel
- May require occasional extended hours to meet business needs and funding deadlines
