Job Summary

This role is responsible for providing advanced tactical and strategic administrative support to upper-level executives within the organization. Responsibilities include managing key records, compiling data for reports, preparing expense reports, handling executive presentations, owning executives’ calendars and scheduling complex meetings, acting as a gatekeeper for communications, and managing all aspects of executive travel. The role handles sensitive information with discretion, prepares detailed meeting agendas, and serves as the primary point of contact for stakeholders.

It coordinates administrative work within and across departments, and creates statistical and analytic reports and presentations for executives highlighting relevant insights.

Responsibilities
  • Perform advanced tactical and strategic administrative support tasks for upper executive-level employees, recognized as the top administrative employee in the department or division.
  • Handle advanced administrative duties such as key records maintenance, data compilation for reports, expense report preparation, and editing executive presentations.
  • Take ownership of executives’ calendars: schedule complex meetings, manage conflicts, prioritize appointments, prepare detailed agendas, take minutes, follow up on action items, and anticipate future scheduling needs.
  • Act as a gatekeeper by screening and prioritizing phone calls and emails, responding to routine inquiries, and drafting responses on behalf of executives.
  • Manage all aspects of executive travel, including international trips, visa applications, and travel budgets, while addressing last‑minute changes and emergencies.
  • Handle sensitive and confidential information with discretion and maintain strict confidentiality protocols.
  • Generate statistical and analytic reports for organizational use in strategic planning, and prepare presentations with relevant insights for executives.
  • Serve as the primary point of contact between upper executive-level employees and internal/external stakeholders.
  • Coordinate administrative work within the department/division while collaborating with other departments/divisions and partner companies.
  • Supervise entry-level executive assistants or administrative support staff in the administrative services department.
Education & Experience
  • High School Diploma, General Education Diploma (GED), Higher Secondary education, or commensurate work experience or demonstrated competence.
  • Typically 8+ years of related work experience, preferably in senior/advanced general administrative support, office services, or a related field.

Compensation and Benefits

Pay range: $40 to $61 USD per hour (applicable to United States of America candidates only). Pay varies by work location, job‑related knowledge, skills, and experience.
