Flexible 7:00 AM – 4:00 PM or 8:00 AM – 5:00 PM

Job Summary:We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer skills, excellent communication abilities, experience in office management, and the ability to handle multiple tasks efficiently. This role involves handling various administrative tasks, providing exceptional customer service, and ensuring the smooth functioning of daily office activities. Bookkeeping and data entry skills are a plus.

- Manage front desk operations, including greeting visitors and answering phone calls with professionalism and courtesy
- Collect, open, and distribute mail accordingly
- Process outgoing mail as needed via USPS, Fed Ex or UPS
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite and Google Workspace for correspondence, reports, and scheduling
- Handle customer support inquiries with excellent phone etiquette and provide timely responses
- Assist with office management tasks such as inventory control, supply ordering, and recordkeeping
- Support bookkeeping activities using Integra or similar software when necessary
- Coordinate with team members to ensure efficient workflow and communication across departments
- Provide personal assistant support as needed, including travel arrangements or special project assistance
- Proven experience in an office environment with clerical or administrative responsibilities
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Experience with Integra, bookkeeping, or office management systems preferred
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
- Exceptional written and verbal communication skills; strong phone etiquette required
- Attention to detail in proofreading and document management
- Ability to handle confidential information discreetly and professionally
- Strong time management skills with the ability to prioritize tasks efficiently
