Scope

The Data Analyst II supports Unconventional Land and Land Services by managing both physical and electronic land documentation throughout the document lifecycle. This position is responsible for receiving, preparing, scanning, indexing, quality checking, routing, tracking, and archiving documents while maintaining the integrity of Exxon Mobil's enterprise content management (ECM) system. The role requires exceptional attention to detail, organization, and the ability to process high volumes of documentation accurately.

Primary

Responsibilities
  • Process incoming physical and electronic documents.
  • Prepare paper documents for scanning and digitization.
  • Scan physical documents into the enterprise content management system.
  • Perform indexing and quality assurance of scanned documents.
  • Electronically route and distribute completed documents.
  • Track, archive, and manage document workflows.
  • Support special projects and additional document management activities as assigned.
Typical Time Allocation
  • 5% – Process incoming documents
  • 5% – Prepare documents for scanning
  • 10% – Scan physical documents
  • 50% – Index and perform quality assurance on digital documents
  • 25% – Electronically process and route documents
  • 5% – Other assigned responsibilities
Key Responsibilities
  • Support Unconventional Land and Land Services through document processing, digitization, routing, tracking, indexing, and archiving.
  • Maintain document accuracy and quality throughout the scanning and indexing process.
  • Utilize enterprise content management systems to organize and manage documentation.
  • Search internal and external databases to identify legacy records and missing documentation.
  • Assist in identifying software enhancements, process improvements, and workflow efficiencies.
  • Escalate non-routine issues to management or Corporate Land as appropriate.
  • Prioritize multiple requests while maintaining confidentiality and accuracy.
  • Develop familiarity with petroleum land terminology, documentation, and business processes.
Required Qualifications
  • High School Diploma or equivalent.
  • Minimum one year of clerical or general office experience.
  • Proficiency with Microsoft Word, Excel, and Outlook.
  • Strong organizational and document management skills.
  • Excellent attention to detail and accuracy.
  • Effective written and verbal communication skills.
  • Ability to prioritize multiple assignments in a fast-paced environment.
Preferred Qualifications
  • Five years of administrative support experience in Oil & Gas Land or related Oil & Gas operations.
  • Experience working with land documentation and enterprise content management (ECM) systems.
  • Knowledge of land data types and document indexing.
  • Experience researching internal databases and external regulatory databases.
  • Familiarity with Drilling Info (Enverus), county digital record systems, and regulatory agency databases.
  • Understanding of oil and gas land terminology and business processes.

Physical Requirements

  • Close, distance, and color vision required.

They should be comfortable handling large volumes of documentation, working within enterprise document management systems, researching land records, and maintaining a high level of accuracy while supporting business-critical document workflows.
