Position Overview
The Project Coordinator plays a key role in supporting project managers by ensuring seamless coordination and financial accuracy across all project phases. This position involves setting up jobs, track and enter change orders, and creating preliminary schedules to keep projects on track.
Typical Duties and Responsibilities- Collaborate with estimating department to gather necessary information for job set up, including budget details, and client requirements.
- Set up new jobs/projects in ERP system, ensuring accuracy of the project scope and contract details.
- Create and validate project submittals.
- Track and enter change orders.
- Oversee travel arrangements and manage per diem for project teams. Save and file invoices, receipts, for all travel documentation.
- Understand contract requirements, execution, scopes of work, and terms & conditions.
- Prepare accurate and timely invoices for clients based on contractual terms and project status.
- Provide support project financial reporting to recognize under/over billing.
- Identify and resolve discrepancies between accounting systems or accounts.
- Manage the issuance of badges for security access as required for project sites.
- Proactively prepare, collect, and file critical documentation throughout the life of the project.
- Assist with project documents; print and laminating commissioning signs, instructions, QR codes, etc. for projects.
- Support efforts with OCIP/CCIP.
- Material Tracking
Educational and Experience requirements include:
- Previous administration experience in construction environment with processing, coordinating, and execution of contracts and subcontracts.
- Excellent communication (verbal and written) and interpersonal skills.
- Ability to communicate with all levels of project staff.
- Excellent organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
- Excellent computer skills and proficiency with MS Office products (Word, Excel, PowerPoint, etc.) and other computer software.

Job Type: Full-time
Pay: $55,000.00 - $70,000.00 per year
