POSITION SUMMARYThe Maintenance Inventory Clerk reports to the Maintenance Manager and is based out of our Springdale, Arkansas location. This role ensures that the inventory is properly organized, tracked and available when needed to support efficient maintenance activities. The position works closely with maintenance staff, vendors, and other plant departments to maintain accurate records and facilitate smooth operations.
PRIMARY RESPONSIBILITIES- Coordinate the daily operations of the company maintenance stockroom, which provides a wide variety of equipment parts used by team members.
- Request quotes, verify pricing, maintain inventory accuracy of part order requests, process and issue purchase orders to vendors.
- Generate purchase order requisitions or orders for approval, restocking, verification, and entry of invoices.
- Coordinate with contract service scheduled repairs and sign off on service repairs with forklift provider as assigned by work order request.
- Generate purchase orders and monitor deliveries of plant variable items, including but not limited to chemicals, glues, and stretch wrap.
- Communicate with new vendors to obtain quotes, resolve discrepancies, and ensure quality standards.
- Receive, sort, and log all incoming invoices electronically and maintain an organized digital and physical filing system for financial records, ensuring audit readiness.
- Verify by matching purchase order and vendor invoice to ensure quantity and pricing accuracy.
- Review vendor statements and checkbooks against missing invoices, over payments, or credit memos.
- Manage end-to-end documentation for vendor set-up and payment changes, partnering with Corporate AP to ensure accurate disbursements and evaluate vendor performance.
- Maintain contractor register and update electronic records to ensure contractor requirements and compliance with company policies and safety regulations.
- Monitor and issue confined space, or hot work permits to contractors as required.
- Perform monthly inventory counts of maintenance chemical supplies & update database inventory.
- Perform assigned facility/equipment safety inspections as required by the work order system.
- Ensure adequate inventory levels of stock parts and help identify and prioritize immediate equipment repairs versus stock parts.
- Assist in updating CMMS eMaint inventory and distributing parts to work orders.
- Receive, inspect and verify incoming shipments of maintenance supplies and parts; manage stock level reviews, trends, and obsolete items.
- Maintain daily organization and cleanliness of parts/inventory room.
- Pick up and deliver parts as needed.
- Perform other duties as assigned.
- A high school diploma or GED.
- Valid driver license.
- 1‑2 years of inventory experience.
- Basic computer skills – using MS Outlook Mail, MS Word, and Excel.
- Ability to work independently with limited supervision in a team environment.
- Experience in the food/beverage industry.
- Previous experience in a manufacturing or production environment.
- Consultative, influential, strategic thinking and problem‑solving skills.
- Must successfully complete and pass forklift safety training.
- Previous inventory control experience.
This position requires sufficient physical ability to work in a production setting.
FREQUENT: Ability to talk and hear; ability to stand, walk, climb stairs, stoop, bend, and/or crouch; push/pull; lift up to 50 pounds; use of hands and fingers to operate machinery/equipment and all manual and electronic equipment in area of responsibility. Exposure to wet and humid conditions and fluctuations in ambient temperature (seasonal).
