Administrative Assistant to the Chief Communications Officer
Job Summary. Provide direct support to the CCO and department staff in administrative, fiscal, promotional, and communications functions. Serve as a liaison with students, faculty, staff, and external partners, ensuring timely and accurate information and coordination of departmental resources.
Responsibilities- Assist the CCO with financial planning, weekly budget updates, and payment of marketing/promotional and office invoices.
- Order and process office supplies, promotional items, and employee nametags. Maintain inventory records.
- Coordinate professional development and crisis communications tabletop exercises, keep emergency go‑bags updated.
- Manage the PRM photo, video, and signage library, ensuring consistent naming conventions and tagging for searchability.
- Organize and maintain publication samples, track delivery schedules, and maintain print‑ready folders.
- Compile, format, proof and distribute departmental reports on media presence and PRM KPIs.
- Maintain and update campus phone and email directory, monthly mailings, and emergency contact lists.
- Serve as point of contact for information desk inquiries, respond to emails, calls, and in‑person questions, and record interactions for analysis.
- Assist with scheduling content‑creation interviews, photo/video shoots, and related logistics.
- Prepare minutes for PRM and External Stakeholders Team meetings and upload documents to the online portal.
- Perform other duties as assigned.
- High school diploma or equivalent; minimum two years of relevant experience.
- Current computer competency with strong technical skills.
- Strong fiscal, customer‑service, communication, and organizational abilities.
- Experience with budget tracking, invoicing, and inventory management.
- Employment contingent upon successful completion of a criminal background check.
- Digital compliance knowledge.
- Training in Microsoft Excel.
Starting salary ranges from $45,695 to $53,144 per year, with a comprehensive benefits package including paid holidays, sick and personal days, vacation, tuition waiver through credited courses, free access to the on‑campus fitness center, and a supportive team‑oriented environment.
