Position Overview:

The Illinois Prisoner Review Board is seeking to hire a motivated, self-starting Office Assistant for our Victim & Witness Services Unit. This Office Assistant will be an instrumental position within the Unit, responsible for the agency's file retention and scanning process to ensure documents are digitized and stored properly. It is also a position that will be working directly with victims of crime and ensuring proper notifications are sent timely.

This position will be responsible for communicate effectively, demonstrate professionalism and sensitivity. The ideal candidate will be able to work well with the public, other staff, Board Members, and Senior Management and be comfortable with written and verbal communication. Essential Functions

* Responds to verbal and written inquiries from victims, complaining witnesses, and county victim advocate units regarding parole, discharge information, or documentation for individuals in custody within the Illinois Department of Corrections (IDOC) or Illinois Department of Juvenile Justice.

* Manages and maintains document scanning, microfilm and electronic filing.

* Coordinates Document Retention and Disposal.

* Participates in Stakeholder Meetings.

* Performs Data Maintenance and Cleanup.

* Performs other duties as assigned or required which are reasonable within the scope of the duties enumerated above.

Minimum Qualifications

* Requires knowledge, skill, and mental development equivalent to high school.

* Requires one year of related office experience.

* Requires the ability to keyboard accurately at 35 wpm.

Preferred Qualifications

* Prefers basic computer skills.

* Prefers working knowledge of office practices, procedures, and programs.

* Prefers good grammar, spelling and punctuation skills.

* Prefers the ability to maintain files.

* Prefers the ability to follow oral and/or written instructions.

Conditions of Employment

* Requires completion of a background check and self-disclosure of criminal history.

* This position is considered light work as defined by the U.S. Department of Labor (20 CFR 404.1567(b)). Light work involves lifting no more than 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds. This job may require a good deal of walking or standing, or involves sitting most of the time with some pushing and pulling of arm or leg controls.
