Position Overview
The Illinois Department of Transportation is seeking to hire an Executive Secretary I. The successful candidate will perform responsible secretarial and administrative duties functioning independently within the framework of organizational policies and exercising initiative and independent judgment on the promulgation and interpretation of the bureau policies and programs. This position performs a variety of complex clerical and technical functions.
Essential Functions- Serve as secretary to the Land Acquisition Engineer, performing keyboarding of correspondence and annual reports on Land Acquisition activities, including project status.
- Act as receptionist for the Section; receive visitors and direct them appropriately.
- Consult and advise the Land Acquisition Engineer on departmental methods, procedures and interpretations of departmental policies and programs.
- Perform support functions for section staff.
- Arrange travel and appointments, including hotel reservations for the section for seminars and meetings.
- Perform other duties as required or assigned which are reasonably within the scope of duties enumerated above.
- Knowledge, skill and mental development equivalent to the completion of two years secretarial/business college and one-year secretarial experience, or completion of high school and three years secretarial experience.
- Ability to keyboard accurately at 55 words per minute.
- Qualifying state employees in the employee Upward Mobility Program may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.
- Knowledge of word processing software (Microsoft Word, Excel, Access, PowerPoint, and Outlook) and IBM Mainframe Emulation.
- Working knowledge of office practices, procedures, business English and spelling.
- Ability to maintain clerical records and prepare reports for such records.
- Ability to follow oral and written directions.
- Successful completion of a background investigation.
- Ability to work occasional overtime.
- This position is considered sedentary work as defined by the U.S. Department of Labor (20 CFR 404.1567(a)). Sedentary work involves lifting no more than 10 pounds at a time and requires occasional lifting, carrying, walking, and standing.
