Position Overview

The Illinois Department of Transportation is seeking to hire an Office Coordinator. The successful candidate will serve as a secretary to the Statewide Contract Compliance Section Manager, and perform a wide variety of difficult and complex technical secretarial and office support functions.

Essential Functions

* Provides secretarial and complex, specialized office functions for the Statewide Contract Compliance Section Manager and Labor/Equal Employment Opportunity (EEO) & Disadvantaged Business Services (DBE) Contract Compliance Section professional staff.

* Prepares and maintains schedules and tracking systems.

* Performs general and specialized office support and secretarial functions for the section personnel as directed or required.

* As the section receptionist, greets and directs visitors, receives incoming calls for staff and directs callers to the proper individual.

* Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

* Requires knowledge, skill, and mental development equivalent to two (2) years of secretarial/business college, or completion of high school and two (2) years of related office experience, or two (2) years of independent business experience.

* Requires ability to keyboard accurately at 30 wpm.

Preferred Qualifications

* Prefers knowledge of the Microsoft Office Suite, including knowledge of Access.

* Prefers extensive knowledge of composition, grammar, spelling, and punctuation.

* Prefers extensive knowledge of office practices, procedures, and programs.

* Prefers extensive knowledge of basic mathematics.

* Prefers ability to follow oral or written instructions.

* Prefers ability to operate commonly used manual and automated office equipment and perform routine maintenance.

Conditions of Employment

* Requires successful completion of a background investigation.

* This position has been found to meet the requirements in section 4A-101 of the Illinois Governmental Ethics Act requiring the occupant/employee to file a Statement of Economic Interest. The Illinois Governmental Ethics Act (5 ILCS 420/4A et seq.) requires certain state officials and employees to file annual Statements of Economic Interest with the Office of the Secretary of State that will be made available for examination and copying by the public.
