Position: Preconstruction Contract & Risk Coordinator

Position

Summary

The Preconstruction & Risk Coordinator provides critical administrative and operational support to Metal master Roofmaster’s Commercial Roofing and Sheet metal preconstruction team. This role is responsible for managing pre-bid documentation, coordinating insurance and bonding requirements, and tracking all estimating and bidding activity to ensure timely, compliant, and competitive project submissions for the company.

This position works closely with estimators, risk management, and leadership and plays a key role in supporting public, private, and union project pursuits.

Key Responsibilities
  • Organize, track, and maintain project contracts from award through contract execution.
  • Ensure all contract documents are properly executed, filed, and accessible
  • Monitor deadlines, compliance requirements for bonding and insurance
  • Work directly with the company’s captive insurance provider to obtain and manage company’s insurance
  • Issue Certificates of Insurance (COIs) for clients, general contractors, and project specific stakeholders
  • Track and monitor any insurance claims as they arise and communicate status and any actions required from company to division President, Safety Manager, and HR.
  • Track insurance requirements and ensure compliance throughout project lifecycle
  • Review bid invitations and requirements for public and private projects
  • Prepare and assemble all pre-bid documentation, including forms, certifications, and qualifications
  • Ensure all submissions meet deadlines and compliance standards
  • Coordinate with surety agents to obtain bid bonds, performance bonds, and payment bonds as required
  • Track bond requirements and ensure timely issuance for awarded projects
  • Maintain accurate records of all bonding documentation
  • Communicate with internal teams, clients, subcontractors, and vendors as needed
  • Issue subcontracts to subcontractors as required
  • Assist with coordinating and tracking all incoming invitations for bids and outgoing bids with clients, general contractors, and Metal master estimating team
Qualifications
  • High school diploma or equivalent.
  • 2+ years of administrative or coordination experience, preferably in construction, roofing, sheet metal, or a related trade.
  • Strong organizational skills and attention to detail.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • Ability to manage multiple deadlines in a fast-paced environment.
Preferred
  • Experience supporting construction estimating or bidding activities.
  • Familiarity with insurance certificates, bonding, and risk management.
  • Experience with public works and/or union construction projects.
  • Experience with construction or estimating software.
