Head Librarian/Director - Job Description Responsibilities:

  • Carry out the policies of the library as adopted by the Board of Trustees and recommend needed policies for Board consideration.
  • Personnel: hire and supervise library assistants, pages, and custodian; schedule hours to keep the library open per yearly contract; supervise volunteers.
  • Manage accounting functions: checking account, money market and certificates of deposit, payroll (Federal, State and FICA reports), and receipt and expenditure accounting.
  • Prepare and submit all financial reports to the Library Board; attend Board meetings.
  • Gather necessary information for auditors; produce end‑of‑fiscal‑year reports for NILS, Winnebago Co., Stephenson Co., the State of Illinois, and publish in local newspaper.
  • Prepare election materials for Trustees.
  • Oversee overdue materials, sending notices and letters to patrons.
  • Keep library and Board files current; maintain annual Librarian’s Report to the Board, including staff openings and hires (see sub‑list below).
  • Purchase and process library materials (books, catalog cards, audio‑visual items, magazines, donated materials) and perform weeding of materials.
  • Handle correspondence for all library mail, Board mail, and RAILS mail.
  • Oversee building appearance, maintenance, and relocation of bookcases for improved accessibility.
  • Submit newspapers items on special library events, closures, new materials, and book reviews.
  • Implement special programs such as Summer Reading, National Book Week, and Library tours.
  • Purchase supplies for library circulation, machines, and building maintenance.
  • Place special orders of materials from RAILS for public school district and genealogical research.
  • History Room: order materials, enter into catalog, maintain microfilm and microfilm reader, and research through microfilm files for patrons upon special request.
  • Incorporate computer use for bookkeeping, cataloging, and circulation.
  • Suggest and carry out plans for extending library services.
  • Monthly Librarian’s Report (to Board):
    • Staff openings
    • Staff hirings
Minimum Qualifications:

Bachelor’s Degree required;
Master’s Degree in Library Science preferred; plus 5 years of experience in a public library, with at least two years in a supervisory or managerial role.

Location Hours

32-35 hours per week or as many as necessary to complete duties.
