Position Overview

The Illinois Department of Transportation (IDOT) is seeking to hire a Senior Policy Administration Specialist. The successful candidate will manage the department’s policy lifecycle processes, including document review coordination, Power

DMS administration, routing and version control, policy compliance tracking, and internal support for policy publication and procedural documentation standards.

Essential Functions
  • Under general direction, serves as the Sr. Policy Administrator, organizing, planning, executing, controlling, and evaluating the department’s policy lifecycle processes and ensuring data integrity.
  • Maintains various SharePoint sites that house procedural documentation, publication tools, and user guidance.
  • Coordinates manual sales and publication distribution using Jet Pay, SAP, Access and Excel systems.
  • Coordinates policy‑related meetings.
  • Performs other duties as required or assigned that are reasonably within the scope of the above.
Minimum Qualifications
  • Knowledge equivalent to completion of four years of college, preferably with courses in public or business administration, communications, information management, or related policy writing/development coursework.
  • Two years of responsible administrative experience in a public or business organization, including drafting rules, procedures, policy guides, interpretations, or directives; editing and formatting policy documents; and using a document and policy management platform such as Power DMS.
Preferred Qualifications
  • Advanced knowledge of ISO 9001 document control principles, including audit trails and versioning.
  • Advanced proficiency in Microsoft Word, Excel, SharePoint, and Adobe Acrobat.
  • One year of experience coordinating cross‑functional review processes, routing documents for executive approval, and managing review schedules.
  • One year of experience with manual sales tracking, inventory management, and financial reporting tools such as Jet Pay, SAP, Access, and Excel.
Conditions of Employment
  • Successful completion of a background check and criminal history disclosure.
  • Ability to travel in the performance of duties, including overnight stays as appropriate, and a valid driver’s license.
