Implantable Device Coordinator

The Implantable Device Coordinator is responsible for ensuring the accurate and timely documentation, tracking, and coordination of implantable medical devices throughout the patient care process. This role serves as a central liaison between clinical, clerical, and Information Systems teams to support efficient workflows, maintain inventory accuracy, and facilitate timely charge capture and billing. The Implantable Device Coordinator helps reduce billing delays, improves inventory accountability, and ensures complete documentation to support regulatory and financial requirements.

In addition, this position provides cross‑coverage during staff vacations and absences to maintain continuity of operations and uninterrupted departmental support.

  • Any other duties assigned by surgery management to meet the needs of the department.
  • Builds and maintains data files in the computer systems.
  • Prepares materials management system requisitions for non-stock supplies and inventory items.
  • Updates and maintains inventory pricing for Charge Description Master patient charge system.
  • Prepares Charge Description Master report to inform finance department of any changes, additions, revisions, deletions of inventory items or change in cost of items.
  • Collaborates with manager on setting departmental objectives, planning equipment needs, designing systems and procedures to meet changing requirements, and evaluation of departmental services.
  • Maintains, develops and assures adherence to policy and procedures.
  • Supports leadership with accurate data management for budgeting and revenue management.
  • Demonstrates appropriate customer service behaviors and acts as a productive and professional member of the surgery department.
  • Ensures all implants are accurately built and maintained in Workday in a timely manner.
  • Manages Surgical Services inventory.
  • Approves, validates and verifies supplies.
  • Implements performance improvement and lean management solutions to reduce supply and inventory costs.
  • Serves as a liaison between Surgical Services and vendors and Materials Management.
  • Owns the implant process from end-to-end, from receipt of the implant record to documentation and system entry including reordering, tracking, and inventory.
  • Performs computer-based functions within the EMR.
  • Provide coverage for the surgery scheduling office and surgery control desk during vacations and unexpected absences.
  • Provides recommendations for strategies and resources.
  • Represents Surgical Services issues on the Value Analysis Committee and attends other committee meetings and task forces when appropriate.
  • Reduce or eliminate delays that place patient accounts on billing holds.
  • Serves as the central liaison between OR staff, IS, SPD, OR coordinators, and revenue cycle teams.

Hours:

Full-time/40 hours per week

Pay:
Based on experience, starting at $18.68 per hour

Requirements
