The Events Specialist/Manager will ideate, coordinate, develop and execute various marketing events and activities from initial conception through completion. The role will understand marketing and promotion techniques and how to leverage them to develop and execute events that meet (and exceed) business goals and expectations both creatively and consistently. The role will work within the company’s Marketing Department and report to the Director of Marketing.
RESPONSIBILITIES- Plan, manage, coordinate, monitor (and attend) corporate marketing events, including broker events, trade shows, conferences/seminars, association events, open houses, sponsor ships, partner appreciation events, groundbreakings, ribbon cuttings and property tours.
- Oversee, coordinate, and participate in all efforts needed to organize and execute annual events, regional events, charitable/community events, and industry trade shows and conferences. Monitor and track involvement within the industry.
- Develop recommendations/suggestions to enhance the event’s success, identify new opportunities for involvement and explore (and present) new ideas for future consideration.
- Source and negotiate with vendors and suppliers as well as assist the Marketing Director in negotiating annual sponsorship contracts.
- Prepare budgets, assess regional needs, and ensure alignment throughout the year.
- Lead all marketing activities for the event, including facilitating design and copy needs, ordering promotional items, overseeing on-site logistics and addressing issues that arise.
- Analyze event success by providing pre/post-event planning documents, reports and identifying best practices to leverage for future events.
- Flexible work schedule and ability to travel throughout the year, 30-40% of the time.
- Coordinate ad hoc photography needs, corporate photography (headshots) and event photography, as directed/needed.
- Manage inventory and ordering of promotional items, company spirit wear and ad-hoc broker requests, as needed.
- Assist various departments with event related requirements and needs.
- Track spending and manage event budgets with regards to the overall department budget.
- Independently pursue self-development and professional development courses/seminars to enhance knowledge and skills and further diversify skillset.
- Acts in accordance with the values of the company and complies with all company processes and procedures.
- Bachelor’s degree in Marketing, Communications, or related field.
- At least 5-10 years of experience, with a proven track record in a fast-paced environment
- Skilled in project management: must be highly organized, proactive, detail and deadline oriented with ability to handle multiple priorities at once.
- Excellent written and verbal communication skills, strong negotiation skills, a knack for problem-solving, customer-focused team-player with leadership skills.
- Strong technical skills with standard industry computer software including PowerPoint, Word, Excel, Microsoft Tasks, SharePoint, and Windows.
- Stellar project management and organizational skills, a high attention to detail, outstanding customer service and positive, professional demeanor.
- Ability to plan events from start to finish according to requirements, target audience and objectives, including project plan, timeline, event marketing details and post-event recap.
- Exceptional multi-tasking and prioritization skills, as this role involves managing vendors and various event details such as set-up, catering, location selection, invitee lists, special guests, equipment, transportation,promotional materials, etc.
- Strong written and verbal communication skills and task management skills to ensure pre/post-event success.
- Ability to work well with cross-functional teams and within tight time limits to plan, resource, and oversee corporate and regional marketing events.
- Proven track record of directly interfacing with suppliers, understanding and working within corporate guidelines, and planning and managing all logistics related to the planning and execution of events , trade shows, conferences and other ad hoc needs.
- Ability to build strong and collaborative relationships with cross-functional teams, brokers and vendors/suppliers as well as prioritize responsibilities and manage time efficiently.
