The Volunteer Coordinator has oversight for the volunteer program, from recruitment, to screening and training, scheduling and retaining them. Ensures that the volunteer roles support Hospice and the hospital departments, patients, and families while maintaining records for regulatory bodies.
Responsibilities- Develops and maintains a comprehensive volunteer program.
- Ensures the volunteer services contribute to the hospice interdisciplinary function and care plan.
- Tracks and schedules volunteers to meet the standard that 5% of staff hours are provided by volunteers as required by all regulating bodies (Joint Commission, CMS, etc.). Tracks and completes cost savings report and summary of hours to reflect the hours.
- Recruits and interviews potential volunteers interested in supporting Hospice and/or hospital programs. Constantly sourcing and recruiting potential candidates to serve as volunteers. Recruits volunteers through community outreach, presentations in the community and through word of mouth.
- Conducts interviews in conjunction with the Hospice Coordinator and completes reference checks, background checks and immunization history in conjunction with Human Resources. Maintains volunteer files and documentation.
- Plans and implements the volunteer program in accordance with regulatory bodies (Medicare/Joint Commission/CMS).
- Designs and teaches volunteer orientation and ongoing education. Ensures training, both new volunteer orientation and ongoing/annual orientation is aligned and in compliance with training in accordance with Medicare/Joint Commission standards and other applicable regulatory bodies. Tracks all orientation and education documents and competencies in file.
- Assigns volunteers to appropriate patients and tasks. Evaluates the volunteers at least annually to ensure they are meeting the requirements of the volunteer roles.
- Establishes recruitment and retention methods to enhance and maintain the program. Coordinates and participates in training programs, continuing education and support groups for volunteers. Tracks volunteer recruitment and retention strategies.
- Maintains records and personnel files on all volunteer staff. Submits department reports in a timely manner. Maintains communication with volunteers; keeps volunteers informed.
- Monitors for volunteer burnout and reassigns and/or provides direction.
- Assesses continually the volunteer program processes and implements changes to facilitate growth and improvement. Develops and maintains volunteer policies and procedures. Updates annually and informs volunteers of changes.
- Assists in planning and executing special events. Works with the Marketing department to develop written messages for the media concerning new services, special events, news stories, etc. Represents IMH Hospice, Hospital and volunteer program at community events.
- Communicates volunteer needs and relevant observations to the interdisciplinary team.
- Coordinates the volunteer care plan and plan of care with other interdisciplinary team members and care plans patient needs and goals in a measurable and meaningful way.
- Provides information to the community and employers on a regular basis about the programs and services of the organization.
- Coordinates marketing and outreach to collaboratively represent Hospice, Home Care and the hospital at community events with the goal of increasing referrals to all service lines.
- Assists in planning fundraising events and the annual volunteer luncheon.
- Other duties as assigned.

Education and Experience
- High school diploma or equivalent required.
- One year of experience in volunteer coordination outreach.
