A well-established mission-driven organization is seeking a highly polished and experienced Executive Assistant to provide comprehensive support to senior leadership. Responsibilities- Provide executive-level administrative support, including complex calendar management, travel coordination, meeting preparation, and follow-up.
- Serve as the primary point of contact for the executive office, managing communications with professionalism and confidentiality.
- Coordinate board communications, meeting logistics, agendas, and materials while supporting board-related events and trustee hospitality.
- Plan and execute executive meetings, leadership events, donor and VIP visits, and other special events in collaboration with internal departments and external vendors.
- Coordinate scheduling and event logistics for the executive residence, ensuring seamless hospitality and operational readiness.
- Track contracts and institutional agreements, coordinating reviews, approvals, and documentation while maintaining organized records.
- Assist with executive communications, strategic initiatives, and special projects.
- Monitor departmental budgets, process expense reports, and coordinate purchasing activities.
- Bachelor's degree required (Master’s degree preferred)
- At least five years of executive assistant or senior administrative support experience.
- Experience supporting senior executives and coordinating executive-level meetings, projects, and events.
- Demonstrated ability to handle highly confidential information with professionalism and discretion.
- Experience working with contracts, legal documents, or institutional agreements is strongly preferred.
- Higher education or nonprofit experience is preferred but not required.
- Advanced proficiency with Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint, along with strong overall technology skills.
- Exceptional organizational and time management abilities.
- Outstanding written and verbal communication skills.
- Professional presence with excellent interpersonal skills.
- Strong attention to detail and commitment to accuracy.
- Ability to anticipate needs, solve problems proactively, and work independently.
- Flexibility to support occasional evening or weekend meetings and special events throughout the year.
