Full-Time | Permanent | On-Site, Springfield Area
Salary: $60,000–$65,000
A respected private institution of higher education is seeking a highly organized, professional Executive Assistant to provide confidential executive-level support to senior leadership. This is an excellent opportunity for an experienced administrative professional who enjoys working in a collaborative academic environment while managing complex priorities, high-profile events, and sensitive information.
The ideal candidate is a proactive problem solver with exceptional organizational skills, outstanding judgment, and the ability to build strong relationships across all levels of the institution.
What You’ll Do- Provide executive-level administrative support, including complex calendar management, meeting coordination, correspondence, records management, office communications, budget and payment processing, website updates, and general office operations.
- Serve as a key liaison between the department and faculty, students, administrators, trustees, and external partners while maintaining the highest level of professionalism and confidentiality.
- Coordinate a variety of events throughout the year, managing logistics, registrations, catering, marketing materials, supplies, and on-site execution.
- Lead planning and coordination for Commencement Weekend, working with campus partners and external vendors to ensure a successful experience for graduates and guests.
- Support faculty personnel administration, including appointment letters, compensation documentation, onboarding processes, and collaboration with Human Resources and Finance.
- Maintain faculty records and databases while preparing institutional reports, salary surveys, and other data-driven analyses that support leadership.
- Generate reports and provide administrative support for school leadership, institutional research initiatives, and external reporting requirements.
- Bachelor's degree required.
- At least 3 years of executive administrative experience.
- Higher ed experience a plus
- Advanced proficiency with Microsoft Office Suite.
- Exceptional organizational skills with the ability to manage multiple priorities, deadlines, and projects simultaneously.
- Excellent written and verbal communication skills, including strong proofreading and editing abilities.
- Demonstrated discretion, integrity, and sound judgment when handling confidential information.
- Strong interpersonal skills with the ability to work effectively with faculty, students, administrators, trustees, and external stakeholders.
- Experience coordinating meetings, events, or large-scale projects is highly desirable.
- Availability to work occasional evenings and weekends during Commencement and other major campus events
