Job Description:Horvath & Tremblay is seeking a Transaction Coordinator will provide critical administrative and operational support to the Horvath & Tremblay multi-family brokerage team, helping to manage the full transaction lifecycle from executed LOI through closing. This is an excellent entry-level opportunity for an organized, driven individual looking to build a career in commercial real estate. The ideal candidate is a self-starter who thrives in a fast-paced environment, communicates clearly, and takes pride in getting the details right.
We are looking for an individual that can excel in a fast-paced environment. Day-to-day functions include but are not limited to:
- Coordinate and track all active listings and transactions from contract execution through closing
- Maintain and update transaction timelines, checklists, and due diligence trackers
- Draft, distribute, and manage transaction-related correspondence including LOIs, purchase and sale agreements, and closing documents under broker supervision
- Ensure all critical deadlines (inspection contingencies, financing contingencies, closing dates) are tracked and communicated proactively
- Organize and maintain deal diligence files, ensuring all documents are properly executed and stored
- Serve as the primary point of coordination between brokers, buyers, sellers, attorneys, lenders, and third-party vendors
- Support brokers with CRM data entry and maintenance, including contact records, deal stages, and activity logging
- Compile and organize property-level financial data, rent rolls, and operating statements for underwriting review
- Assist with comp research, market data gathering, and comparable sales analysis
- IN-OFFICE ROLE:
Candidate must be based in or willing to relocate to the Greater Boston area - Bachelor's degree in Business, Real Estate, Finance, or a related field (or equivalent experience)
- 0–2 years of professional experience in commercial real estate, legal, finance, property management, or a related field
- Strong organizational skills with exceptional attention to detail and follow-through
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with SharePoint a plus
- Ability to manage multiple priorities simultaneously in a deadline-driven environment
- Professional demeanor with strong interpersonal skills and a client-service mindset
- Familiarity with commercial real estate transaction processes, terminology, or documentation
- Experience with CRM platforms (Salesforce/Apto preferred)
