Position summary

The part-time honors office assistant supports the day-to-day operations of the honors office, honors program, and alpha psi tau chapter of phi theta kappa. This position provides administrative, organizational, and programmatic support, assisting with student engagement initiatives, event coordination, data tracking, and office operations. The assistant serves as a professional representative of the honors office and contributes to fostering a welcoming, student-centered environment.

Must be a highly motivated team member/leader who will engage in the daily activities of the office staff, the schedule, and assign tasks and see that they are completed, under the direction/supervision of the honors director and honors coordinator.

Essential job duties

* perform receptionist duties including answering phones, greeting students and visitors, and directing inquiries appropriately.

* maintain a positive and professional atmosphere for students, faculty, staff, and guests.

* demonstrate professional conduct, positive attitude, and supportive culture.

* support student recruitment and retention efforts through participation in campus events, activities, and informational outreach.

* respond to emails from students and faculty in a timely, professional, and well-informed manner, and refer inquiries to supervisors or appropriate offices when necessary.

* assist in maintaining the phi theta kappa and honors program canvas pages, including posting announcements and updating content with relevant information.

* serve as a liaison between the local chapter and phi theta kappa international, promoting national events, webinars, and initiatives and ensuring students receive timely information.

* assist with office supply inventory, purchasing requests, and materials distribution.

* maintain and update tracking spreadsheets for honors program and phi theta kappa membership, contracts, events, and reporting.

* support students, faculty, and staff with office equipment and technological needs.

* coordinate with work-study staff and assist in assigning and monitoring tasks as directed.

* assist in honors lounge tasks, relieve staff during their lunch hour and other times during the day, as needed.

* exercise initiative in assessing workload, prioritizing tasks, and meeting deadlines.

* maintain confidentiality of students, parents/guardians, and fellow staff members information, as well as records in accordance with institutional policies.

* exhibit exemplary attendance and punctuality.

* comply with all college policies and procedures.

* ensure all honors lounge rules/procedures/policies are enforced.

* perform other duties as assigned, including assisting in planning and executing honors and phi theta kappa events, meetings, induction ceremonies, workshops, and campus events.

Required knowledge, skills & abilities

* high school diploma or equivalent.

* proficiency in microsoft office suite (word, excel, outlook).

* prior customer service experience and working with the public.

* ability to work well with others.

* strong oral and written communication skills.

* ability to use information technology for professional productivity.

Preferred knowledge skills & abilities

* associate's degree from a regionally accredited institution of higher learning.

* experience with colleague.

* experience working within a collegiate setting.

* national career readiness certificate.

Physical demands and working environment: (the conditions herein are representative of those that must be met by an employee to successfully perform the essential functions of this job.)

Environment: work is performed primarily in a standard office setting with frequent interruptions and distractions. Requires extended periods of time viewing computer monitor or standing; may require adjustment of schedule to include some evening and/or weekends; may encounter occasional exposure to inclement weather during travel.

Physical: primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard.
