Administrative Assistant II

Agency:
Oklahoma State Department of Health (OSDH), District 5;

Location:

Altus, 401 W. Tamarack Road.

Position type:
Full-time, regular. Salary: up to $48,000.00, based on education and experience.

Work schedule:

Monday–Friday, 8:00–17:00. Primary hours: 8-5. Travel required; district-wide coverage. Must possess a valid driver’s license.

Responsibilities
  • Provide administrative support for program area and support functions, including supervising administrative or clerical units.
  • Coordinate and process applications for permits or licenses, maintain records, prepare correspondence and other materials.
  • Coordinate activities internally and externally, supervise assigned staff as needed.
  • Train other staff, assign projects, and develop special procedures.
  • Initiate correspondence requiring knowledge of agency or program procedures and policies.
  • Develop and maintain confidential or complex files.
  • Interpret and advise internal and external customers on departmental or program rules, regulations, and laws.
  • Prepare invoices and manage fiscal duties such as claims, requisitions, purchase orders.
  • Represent agency, supervising official, or program area at meetings, conferences, or civic organizations.
  • Engage in educational and training programs.
  • Interview callers, arrange appointments, and handle office details.
  • Enter and retrieve information using a personal computer or other data processing equipment; review data and make routine corrections.
  • Travel required; position will cover district‑wide if needed.
  • Being present in the office is an essential function of the job.
  • Other duties as assigned.
Other Duties
  • Demonstrate knowledge of the mission, vision, values, standards, policies and procedures, operating instructions, confidentiality standards, and the code of ethical behavior.
  • Work effectively in a team environment, participating and assisting peers.
Minimum Qualifications

Bachelor’s degree plus one year of technical clerical, administrative, secretarial, or general office work (or an equivalent combination of education and experience). Applicants must be willing and able to perform all job‑related travel normally associated with this position and possess a valid driver’s license.

Skills and Abilities

Knowledge of spelling, punctuation, and business English; business mathematics; modern office methods and procedures; maintenance of complex records; and major policies and procedures governing assigned programs. Ability to maintain effective working relationships, handle confidential work, interpret routine matters in accordance with agency policy, and follow oral and written instructions.

Physical Demands and Work Environment

Work performed in an office setting with climate control and moderate noise. Requires standing, walking, reaching with hands and arms, sitting for long periods, and extensive computer and phone use. Being present at the office is an essential function.
