Job Summary:

Provides consistent secondary staff coverage for the University's auxiliary enterprises, primarily the Mailroom, in order to provide continuity of information and service to customers and assistance to auxiliary enterprise staff. Assists in oversight of daily Mailroom operations. Assists with other auxiliary enterprise operations, as necessary.

Duties/Responsibilities:

  • Assists with and supervises all mail-related tasks of the enterprise. Sorts, logs, and distributes received mail and packages; meters outgoing mail and packages; conducts mail-related retail sales; inventories mail supplies, completes or informs supervisor of necessary orders; oversees continuing maintenance of mailing equipment; bills for business reply and postage due mail; maintains accurate list of University personnel and students for mail distribution;

    maintains accurate list of general ledger accounts in mail system. When necessary, assists mail delivery staff with delivery of campus mail and parcels.
  • Develops proficiency with all equipment in the Mailroom and adjacent self-service area. Trains other personnel successor on all equipment, as needed. Assists customers in self-service area with equipment. Inspects enterprise equipment and ensures that equipment remains clean and in working order. Works with supervisor to place service calls/work orders for repair or orders for replacement of equipment.
  • Assists Auxiliary Enterprise Assistant and/or other personnel with oversight of daily reconciliation of cash register drawer and departmental billing from register reports on a monthly basis. Reviews and transacts daily deposit (morning shift only). Conducts retail sales via cash register.
  • Assists with internal billing for mail and copy charges as requested. Downloads charges from mail equipment; creates departmental billing spreadsheet and transmits to supervisor for processing.
  • Provides basic assistance with campus copiers as needed, including delivery and installation of toner, staples, and other basic copier supplies/equipment; clearing of paper jams; provision of service call information to departments.
  • Assists with inventory of necessary office and retail supplies, informs supervisor of necessary orders. Procures necessary supplies and equipment as directed and approved by supervisor.
  • Maintains a clean and organized workspace.
  • Conducts inventory of all supplies at fiscal year-end; complies with necessary deadlines for counting of cash-drawer and inventory spot-check at year end.
  • Recommends measures to improve enterprise, including quality of service, equipment, student staff performance, etc. Suggests changes in work conditions, use of equipment, use of software, etc. to increase efficiency and quality of enterprise.
  • As necessary and with advance notice, flexes work schedule as possible to assist with coverage of extraneous events (special weekend visit days, coverage of Spirit Store during basketball games). Work will not cause employee to exceed maximum number of hours assigned.
  • As requested, assists at the Bookstore or other auxiliary locations as requested and within scheduling limits.
  • Other duties as assigned.
