Ministry Function:
The Travel Coordinator supports the ministry of Convoy of Hope by providing administrative support for the travel team and coordinating assigned domestic travel arrangements. This position assists with travel bookings, provides traveler support, travel documentation, and day‑to‑day administrative functions to help ensure efficient and ministry‑focused travel services.

Essential Duties and Responsibilities
  • Provides general administrative support for travel team, including document preparation, data entry, scheduling, filing, reporting, and special projects.
  • Reconciles travel credit card statements and maintains accurate travel reporting and records.
  • Collects, reviews, and processes travel forms, travel insurance, background checks, and other required travel documentation.
  • Coordinates direct billing with approved hotel partners, assists with tracking unused ticket credits, supplier invoices, commissions, and other travel‑related reporting.
  • Maintains traveler profiles, travel records, online booking tools, and other travel management systems.
  • Assists with booking domestic travel, including airfare, hotels, rental cars, and other travel arrangements in accordance with organizational travel policies.
  • Provides excellent customer service by assisting travelers with reservations, itinerary changes, cancellations, travel disruptions, and general travel inquiries.
  • Assists with emergency travel requests and after‑hours travel coordination as needed.
  • Maintains accuracy, confidentiality, and professionalism when handling sensitive traveler and organizational information.
  • Attends industry/system trainings as needed.
  • Fulfills all other duties as assigned.
  • Qualifications
  • Two years’ experience in administrative support is required. Three years’ experience in customer service/hospitality is preferred. One year booking travel is preferred. A bachelor's degree in a related field is preferred; a high school diploma or equivalent is required.
  • Strong customer service, communication, organizational, and time management skills with the ability to manage multiple priorities in a fast‑paced environment.
  • Strong attention to detail and accuracy.
  • Ability to maintain utmost confidentiality when handling sensitive information.
  • Ability to work independently while collaborating effectively within a team environment.
  • Ability to learn and apply airline fare rules, travel policies, and supplier programs. Demonstrates initiative, adaptability, and a willingness to learn new systems and processes.
  • Exhibits strong PC proficiency and working knowledge of Google Workspace, Microsoft Office, and has the ability to quickly learn on a Global Distribution System (Sabre), and  or other COH systems as needed.
