Job Summary:

Under general supervision, but with decision making autonomy within a predetermined scope of one or more hospital business units, to operate as the primary UMMC contact for vendors regarding contract quotes and outside organizations interested in contracting with the assigned hospital departments. Responsibility for the entire lifecycle of contracts within the portfolio, requiring high level of skill to manage and negotiate the business terms of contracts.

Involved in all steps of planning, conducting, and documenting initial contract negotiations. Performance of post-contract administration activities, including tracking major provisions, ensuring both internal (UMMC) and vendor compliance with contractual requirements, tracking expiration and renewal dates, and monitoring contract cost. Advise hospital departmental leadership on the contracts within their purview and provide business support and guidance to internal and external business teams on UMMC goals and objectives.

Bachelor’s degree and two (2) years of experience in business operations, finance, or legal.

Knowledge of business and management principles involved in strategic planning and contract administration. Strong organizational, analytical, and negotiation skills. Excellent interpersonal, verbal, and written communication skills. Ability to plan, organize and conduct multiple complex projects. Ability to handle confidential information. Ability to establish and maintain professional relationships.

Responsibilities:
  • Works with hospital business units to identify contractual needs and develop contract proposals consistent with UMMC policies for departmental approval.
  • Collaborates with Supply Chain to conduct solicitations on behalf of UMMC and ensure contracts are procured in accordance with Mississippi state law and UMMC policies.
  • Assists departments with sole-source procurement justifications and supporting documentation.
  • Reviews proposed contracts to ensure appropriate business terms and alignment with departmental needs.
  • Identifies potential issues with contractual terms and conducts commercial negotiations related to pricing, scope of supply, business terms, conditions, and logistics.
  • Serves as the primary business contact for assigned contracts and vendor relationships.
  • Reviews and provides guidance on Value Analysis Committee submissions.
  • Performs financial analysis to support departmental and finance approval of contracts and related initiatives.
  • Manages contract lifecycle activities, including contract entry into the contract lifecycle management system, execution tracking, document filing, and post-contract administration.
  • Maintains contract tracking tools and documentation to monitor agreement expirations, milestones, financial performance, and compliance requirements.
  • Collaborates with Accounting and departmental leadership to monitor purchase orders, verify receipt of goods and services, and validate multi-year cost assumptions against contract provisions.
  • Monitors vendor performance and compliance with contractual requirements, purchasing commitments, market share expectations, and applicable regulatory or accreditation standards, including The Joint Commission.
  • Prepares and presents reports on contract performance, compliance, and financial impact to departmental leadership and communicates contract requirements and financial implications to hospital departments.

Physical and Environmental Demands

Requires occasional activities subject to significant volume changes of a seasonal/clinical nature, constant work produced subject to precise measures of quantity and quality, occasional bending, frequent lifting and carrying up to 10 pounds, constant sitting, frequent standing, and occasional walking.
