Position Overview

The Donor Services Database Assistant provides administrative, reporting, research, and data management support for the Donor Services Department. The position supports grantmaking, gifts, donor stewardship, Foundation programs, events, database integrity, reporting, donor communications, and cross‑functional data needs.

Reports to:

Director of Donor Services.

Primary Duties and Responsibilities
  • Database Management
    • Data entry of all grant recommendations.
    • Oversee maintenance of the CRM database system.
    • Organize database tables, field standards, tags, and codes.
    • Manage data entry standards.
    • Develop procedures and processes to improve data standards, entry, consistency, and utility in coordination with the Director of Donor Services and the Finance teams.
    • Develop methods to produce accurate reporting and metrics.
    • Provide training to all staff on the CRM.
    • Provide technical assistance and guidance across the entire organization when needed.
    • Provide staff training, support, and feedback on data entry and reporting for all database users, as appropriate.
    • Collaborate with team members to track and report on fundraising progress and donor trends.
    • Ensure the ethical and confidential use of donor and prospect information is consistent with the standards of the Foundation.
    • Ensure the confidentiality of gift and constituent records.
  • Donor Services Research
    • Provide regular summaries of Donor Services activities, relationship‑building efforts, and outcomes to Donor Services leadership.
    • Work collaboratively with Donor Services team members to establish and implement innovative procedures, including workflow development, to facilitate donor cultivation and development.
    • Produce mailing and email lists for marketing needs.
    • Review Donor Services surveys, analyze results, and report findings to the Director of Donor Services and Donor Services team when appropriate.
    • Keep updated on innovative technology that will enable the Donor Services Department to identify top prospects effectively and efficiently.
    • Develop audience segmentation within database.
    • Troubleshoot database & technology challenges.
  • Donor Engagement
    • Provide administrative support to the Donor Services team and incoming callers when needed.
    • Perform other related duties as assigned by the Director of Donor Services.
  • Other duties and tasks as may be assigned and required.
Qualifications and Skills
  • Excellent written and verbal communication skills, proficiency with Microsoft Office products, and curiosity about learning new systems.
  • Three or more years of experience in database management, data analytics, customer relationship management systems, donor services, grantmaking operations, or a related field preferred.
  • Strong data analytical skills and advanced spreadsheet skills, including comfort with formulas, sorting, filtering, and data quality review.
  • Experience with Csuite, GLM, CRM systems, or comparable donor, grantmaking, or relationship‑management platforms preferred.
  • Must exhibit strong attention to detail and a disciplined approach to data accuracy, documentation, confidentiality, and follow‑through.
  • Ability to effectively interact with a wide variety of donors, fund holders, nonprofit partners, professionals, community members, and staff.
  • Detail‑oriented approach to working in a team‑driven organization committed to community service.
  • Ability to work both independently and as part of a team while managing multiple priorities and deadlines.
  • Ability to protect donor confidentiality and demonstrate responsive, compassionate, and effective service.
Compensation and Benefits

The salary will be negotiated based on experience, qualifications, and record of achievement. Minimum starting salary of $51,000. Candidate salary history will not be requested nor referenced in negotiating salary. Health, dental, and additional benefits are available after 90 days of satisfactory employment.

Hours

37.5-hour work week. Office hours are 8:30 AM – 5:00 PM. The Foundation offers flexible time options for its full‑time employees in good standing, after 90 days of satisfactory employment.
