Retail Facilities Coordinator (RFC) – Job Overview

The Retail Facilities Coordinator (RFC) is responsible for ensuring that the retail store locations are maintained in a condition that represents our brand positively to both our team members and customers. The RFC maintains safety, security, and compliance with lease agreements and all governmental rules and regulations through the most efficient use of internal and commercial resources.

Essential Job Functions
  • Oversee all routine break/fix repairs for the stores or submit larger repairs/replacements to the Senior Coordinator queue.
  • Initiate, oversee, and execute facility maintenance routine break/fix repairs in a cost‑effective and timely manner.
  • Provide cost per repair, define scope of work, and manage all internal and external communication.
  • Maintain asset protection and facility sustainment through preventative maintenance programs and temporary/permanent repairs.
  • Field repair requests received via email, phone calls, or Maintenance and Repair System (MARS).
  • Process service requests, determine responsibility based on leases, warranties, and timelines, and delegate to the appropriate party.
  • Determine the RFC’s responsibility for repair costs, review each request, identify needs, establish scope, and procure contractors or trades.
  • Place service requests in process; if not the RFC’s responsibility, forward to the appropriate team.
  • Generate work orders for approved vendors, outlining scope of work, completion dates, and not‑to‑exceed pricing.
  • Submit and release work for contractors to begin, and ensure proper documentation of each step.
  • Submit work requiring additional investigation or in‑depth evaluation to the Senior Coordinator queue for resolution.
  • Confirm “work complete” within MARS and perform follow‑up.
  • Maintain oversight, follow‑up, and communication using the MARS dashboard and query reporting.
  • Possess knowledge of facility ownership, lease duration, tenant/owner responsibility, and city codes/restrictions.
  • Interface with other departments, jurisdictions, contractors, and field operations to ensure repairs are completed on time.
  • Communicate effectively, prioritize tasks, organize, and manage time while maintaining versatility and flexibility.
  • Follow up, review completion, and monitor contractor performance for quality assurance.
  • Process all MARS requests throughout the receipt, work order, and completion cycle.
Skills, Education, Knowledge, Experience, Abilities Required
  • High School diploma with 2–4 years of construction, maintenance, HVAC, electrical or related trades experience.
  • Good people skills.
  • Excellent customer service orientation.
  • Proven ability to multitask and demonstrate dependability and reliability.
  • Basic computer knowledge (Word, Excel, e‑mail, internet, database systems).
Desired
  • High School diploma with 3–5 years of construction, maintenance, HVAC, electrical or related field experience.
