As a Project Manager you’ll be responsible for orchestrating projects through the project lifecycle. This includes managing schedules, communication and deliverables for multiple programs/projects, both complex and small in scope. Through coordinating all workflow phases, schedule management, and approvals from project initiation through delivery in‑market, you’ll ensure projects meet or exceed expectations and are delivered on time.

Responsibilities
  • Project Planning:
    Helping outline forecasted client workload to aid in agency planning efforts.
  • Proactive partnering with the Account Management/Strategists on a regular basis to understand and review client project roadmaps and priorities.
  • Project Lifecycle Management:
    • Holistic project planning and schedule execution for programs and projects:
      • Ensuring upfront project requirements are received and are aligned with the appropriate project priority and workflow.
      • Partnering with the Resource Managers for creative assignments and resource management.
      • Creating comprehensive project schedules that outline project milestones from initiation to in‑market delivery based on scope, timing, deadlines and resources.
      • Capturing milestone dates and overall timelines regularly, validating and adjusting timelines as needed.
      • Facilitating project approvals for internal stakeholders.
      • Identifying and proactively resolving any deliverables that might fall behind schedule.
      • Communicating project status, approvals, risk and delivery.
      • Scheduling, facilitating, and recapping project related team meetings (e.g. project kick‑offs, creative reviews, stand‑ups, production inputs, huddle meetings for risk mitigation, and lessons learned).
      • Ensuring proper project closure and archive procedures are executed.
  • Workfront System Coordination:
    • Leading and orchestrating all assigned client activities and documentation within the Workfront system from initiating work through project close‑out procedures.
    • Certifying the system centrally houses all project requirements, schedules, documentation and project approvals.
    • Leveraging system reporting to analyze, translate and communicate trends or project insights.
    • Functioning as a ‘power user’, utilizing all system features and functions and suggesting system improvements.
    • Proactively suggesting system enhancements and system short‑cuts to administration team.
    • Assisting in system training for new hires or system releases.
    • Providing support for system releases or upgrades.
  • Process Champions:
    • Serving as the guardians of the process within Global Brand & Creative.
    • Possessing a complete understanding of all Global Brand & Creative processes – web, social media, advertising, etc. in order to effectively manage assigned projects across owned or paid media channels or deliverable types.
    • Cross‑training peers within the department on process project life cycles to aid in effective team management of programs/projects.
    • Contributing to process improvements through identifying process opportunities for efficiency, determining the need for a new process or contributing to process improvement through a formal task force or initiative.
Team & Resources

PMO and Ops team consists of 16 people overall. This person would work across one-two key Project Managers or Sr. Managers to help support specific books of business and/or mid‑large projects. Candidate should have the ability to manage 25–30 projects monthly in a fast‑paced environment. Two weeks of comprehensive training would happen prior to managing projects solo. Candidate would be encouraged to attend weekly team huddles and monthly operations meetings within the team.
