Description

The Assistant to the Senior Vice President, Student Affairs, Enrollment Management, & Regional Locations and Student Affairs Specialist, serves as a confidential assistant and primary liaison for duties delegated to other administrators by the Senior Vice President. This role fosters strong relationships with all constituent groups to promote transparency and effective communication with the Senior Vice President and the office. The assistant alleviates the Senior Vice President’s administrative workload, allowing greater focus on executive-level responsibilities and strategic planning.

Utilizing experience and sound judgment, this role plans and achieves objectives while ensuring adherence to deadlines. The position includes discretionary authority to organize the Senior Vice President’s schedule and plays a key role in planning, executing, and leading various Strategic Planning initiatives across the College.

Shift: Monday - Friday; 8:00am - 5:00pm. Evenings and weekends, as needed.

Responsibilities
  • Manages the Office of the Senior Vice President to ensure maximum productivity, effectiveness, and efficiency
  • Maintains the confidentiality of the office
  • Oversees office organization
  • Helps schedule meetings
  • Purchases materials and supplies
  • Handles first-line student, staff, and community complaints as needed
  • Serves as a communication link to all college constituents
  • Maintains records retention efforts and manages full compliance for the Senior Vice President of Student Affairs
  • Analyzes office expenditures to ensure budget compliance
  • Provides administrative support to the Senior Vice President
  • Coordinates communication and monitors and/or follows up on activities
  • Creates and maintains distribution lists
  • Assists with monthly reports
  • Attends meetings; records, prepares, and distributes minutes
  • Coordinates travel arrangements and appropriate reimbursements
  • Manages calendar and appointment scheduling
  • Serves as a liaison to the internal college community (division-wide)
  • Assists with creating and/or coordinating events, communications, and presentations
  • Assists with graduation planning and works with the Assistant Vice President and Records Office to support the ceremony
  • Creates written, oral, and electronic communications to Student Affairs staff
  • Monitors activities assigned by the Senior Vice President to staff
  • Serves as a liaison to the external community
  • Acts as the initial point of contact for the Senior Vice President’s office
  • Creates written, oral, and electronic communications to community groups, students, parents, public and private schools, and community service agencies
  • Provides administrative support for and serves as liaison to committees/teams led by the Senior Vice President
  • Coordinates communication and monitors and/or follows up on activities of individuals or groups
  • Serves as creative authority on written documents and presentation materials
  • Attends meetings; records, prepares, and distributes minutes
  • Plans and organizes special events (e.g., Strategic Planning Day, Convocation, and others)
  • Assists with Strategic Enrollment Management Planning;
    Completion, Retention, and Student Success initiatives;
    Customer Service and Service Standards training; and Assessment and data gathering
  • Assists Student Affairs with recruitment, enrollment, and completion events
  • Provides backup support to the Assistant Vice President and deans in the Student Affairs division
  • Performs all other duties as assigned by supervisor
Experience

Two years to five years of similar or related experience.

Education
  • A two-year college degree or (2) Completion of a specialized course of study at a business or trade school or (3) Completion of a specialized and extensive in-house training or apprenticeship program.
Certificates, Licenses, and Registrations

Requires travel to multiple campus locations; a valid driver's license and/or dependable transportation is required.
