Job SummaryThe Medical Records Coordinator is responsible for maintaining, organizing, and safeguarding resident medical records in accordance with federal, state, and facility regulations. This role supports clinical, administrative, and compliance functions to ensure accurate documentation and timely availability of medical information.
Essential Duties and Responsibilities- Maintain complete, accurate, and up‑to‑date resident medical records.
- Assemble, audit, and organize charts in compliance with regulatory standards.
- Ensure documentation is completed, signed, and filed appropriately.
- Monitor records for deficiencies and follow up with appropriate staff for corrections.
- Support admissions, discharges, and transfers with proper record documentation.
- Assist with audits, surveys, and inspections by providing requested records.
- Protect confidentiality and comply with HIPAA regulations at all times.
- Coordinate record retention, storage, and destruction according to policy.
- Communicate effectively with clinical staff, administration, and external agencies.
- Experience with medical records preferred, especially in a long‑term care or healthcare setting.
- ICD‑10 coding knowledge preferred.
- Familiarity with electronic health record (EHR) systems preferred.
- Strong attention to detail and organizational skills.
- Ability to manage multiple tasks and meet deadlines.
- Knowledge of HIPAA and healthcare compliance standards.
- Strong communication and teamwork skills.
- High school diploma or equivalent required.
- Additional training or certification in Health Information Management is a plus.
